Overview

The Indiana Executive Assistant & Trustee Liaison will provide direct administrative support to the Indiana Executive Director and the Indiana Deputy Director and serve as the primary liaison with Indiana’s volunteer Board of Trustees. The role includes coordinating board meeting planning, communication, staff interactions, as well as supporting trustee committees, recruitment, onboarding and stewardship. The liaison will also collaborate closely with the Indiana Development team and TNC’s Trustee Program.

Responsibilities
  • Arrange domestic and international travel, manage calendars, draft correspondence, process expenses, and coordinate logistics for meetings and special events.
  • Maintain, track, research data and produce reports for the manager.
  • Provide guidance on administrative requirements, policies, procedures, and deliver targeted training to Directors, Deputy Directors, and Trustees.
  • Implement processes and practices to improve effectiveness of work.
  • Coordinate projects with multiple variables, set realistic deadlines, manage timelines and budgets.
  • Communicate on behalf of the manager with staff, donors, vendors, and partners.
  • Act independently with judgment, ensure compliance with Conservancy policies and external requirements.
  • Make purchases, process invoices, contract with vendors, and assist with budget preparation.
  • Supervise administrative and volunteer staff, including training and professional development.
  • Provide input through project teams for program improvement.
  • Follow manager instructions and act in manager’s stead when required.
  • Travel frequently and work flexible hours; remote work up to two days a week.
Candidate Profile
  • Bachelor’s degree and 2 years of experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.
  • Experience providing administrative support to a director and team.
  • Experience working with a large Board of Trustees.
Licensing & Compliance

The position requires a valid driver’s license and compliance with TNC’s Auto Safety Program. The employee must complete a Vehicle Use Agreement, which may include a review of the motor vehicle record. Employees may not drive Conservancy‑owned or
-leased vehicles, rental cars, or personal vehicles on behalf of the Conservancy if they are considered “high risk drivers.”

Compensation

Annual base salary range: $59,500 – $63,000 (USA). Salary is determined by location, qualifications, specific skills and experience.
