WSDOT is seeking an organized and customer-focused Administrative Assistant 2 to join the Accounting & Financial Services Division (AFS) in Lacey, WA. In this role, you will provide a broad range of administrative and clerical support that helps keep critical financial operations running smoothly across the agency.
As the principal assistant to the AFS Deputy Director, you will coordinate calendars and meetings, track deliverables, support timekeeping and performance management activities, and provide administrative assistance to division leadership. This position offers the opportunity to work with employees at all levels of the organization, contribute to continuous improvement efforts, and play an important role in supporting the division that provides statewide financial services for WSDOT.

Among the varied range of responsibilities held within this role, you will:
- Serve as the principal assistant to the AFS Deputy Director by managing calendars, coordinating meetings, tracking commitments, and preparing and reviewing correspondence.
- Provide administrative support to the Accounting & Financial Services Division by coordinating meetings, processing payment vouchers, reconciling charges, routing documents for signature, and supporting Assistant Directors.
- Perform timekeeping duties for AFS by monitoring and resolving timesheet exceptions, maintaining employee schedules, serving as a liaison with Payroll, communicating deadlines, and training employees on time reporting processes.
- Provide clerical support for the AFS Performance Management Program by coordinating meetings and tasks, collecting and entering performance data, and preparing dashboards, presentations, and related materials.
- Perform other duties as assigned, including providing backup administrative support, maintaining records, and coordinating interview scheduling.

It is preferred that qualified candidates also demonstrate:
- WSDOT Financial Systems: Experience using WSDOT accounting systems, including TRAINS.
- Timekeeping Systems: Experience using WSDOT's timekeeping system, DOTtime.
This recruitment may also be used to fill additional positions per business needs. This position offers flexible/hybrid remote work options. In addition to base salary, employees may be entitled to other forms of compensation depending on the type, duties, or location of the position.
