Administrative Specialist I/II

At Larimer County Department of Human Services, we strive to be responsive, provide timely resources in partnership with our community so individuals and families are healthy, supported, and safe. We are seeking a highly motivated, innovative, and enthusiastic staff member to join our Operations and Organizational Development (OOD) Division as an Administrative Specialist I/II. As an Administrative Specialist I/II on the Program Support Team, you will support our community's most vulnerable members.

This position manages the complex administrative paperwork required for SSI and SSDI benefits, including obtaining medical records, tracking strict filing deadlines, and processing Representative Payee documentation. By handling these time-sensitive tasks, you directly assist the Adult Disability Navigator Program and the Child, Youth and Family Division. Your work allows our caseworkers and navigators to dedicate their time to direct client advocacy and case management.

This position is limited-term and is expected to end after 12 months; however, there may be an option for the position to continue depending on funding and business need. Three professional references with valid contact information are also required to be submitted as part of this application. This position is a hybrid position and will require at least one day/week in the office.

You will be required to have adequate internet access and space for remote work. Larimer County provides a one-time remote work stipend to assist with equipment and office supply needs for remote work spaces.

Responsibilities

What you'll be doing:

  • Processing extensive documentation for children and adults applying for SSI and SSDI benefits.
  • Managing the required documentation for the Department to serve as a Representative Payee for children in care.
  • Tracking and meeting strict, time-sensitive deadlines, including 10-day turnarounds for the Disability Determination Service.
  • Fulfilling comprehensive medical and administrative records requests.
  • Communicating directly with the Social Security Administration regarding application status and client trust documentation.
  • Entering and maintaining accurate client data across multiple State software programs.
  • Coordinating closely with Administrative Specialists, Social Caseworkers, and Case Managers to support client needs.
  • Arranging client transportation for required Social Security Administration appointments.
  • Maintaining and organizing shared tracking systems using Google Workspace.
  • Providing cross-coverage and backup administrative support for unit functions as needed.

What we're looking for:

  • Demonstrated ability to adapt communication styles to collaborate effectively with diverse teams, caseworkers, and external partners (such as the Social Security Administration).
  • Ability to seamlessly adjust workflows and prioritize tasks in a fast-paced environment with ever-changing priorities and strict deadlines (e.g., 10 days).
  • Minimum of two (2) years of professional administrative or clerical experience, ideally involving extensive documentation or complex records management.
  • Highly experienced and knowledgeable in using Google Workspace (Docs, Sheets, Drive) for maintaining shared documentation and tracking systems.
  • Strong customer service skills with a commitment to supporting both internal staff and the broader Human Services mission.
  • Proven capacity to work independently, maintain high accuracy, and sustain productivity in a hybrid office model.
  • Ability to provide cohesive, reliable administrative support across multiple Human Services divisions.
Qualifications

All candidates will be screened for the following required minimum qualifications. Any candidate who does not meet all of the qualifications listed as required will be eliminated from the process.

Administrative Specialist I : 23.5200/hr - $27.0829/hr

  • Must be at least 18 years of age.
  • One (1) year of experience in a directly related field or in the performance of similar office administrative duties and responsibilities required.
