Hennepin County District Court invites qualified applicants for a Court Operations Specialistpositionin the Centralized Records Center. This position is highly detail-oriented, provides expert knowledge ofcourt policies and procedures for all court divisions and involves advanced court operations and case processing work.
The Court Operations Specialist serves as the subject matter expert and point of contact for staffin regard toreport management and case processing. This position will spend a significant amount of time on advanced work including quality assurance, compliance, report analysis, and complex case processing with the primary focus on staff training needs for both new employees and training on new processes to ensure both accurate and timely case processing.
This work entails a considerable amount ofemail, phone, and in person customer service,the application of independent judgment in a fast-paced environment, the ability to effectively manage competing demands, and is expected to perform the full scope of varied clerical work involved in case processing.
This AFSCME-represented position is classified as a Court Operations Specialist, with the same working title. The Hennepin County Government Centeris located in downtown Minneapolis at300
South 6th Street. Typical hours for this position are 8:00 a.m.
-4:30 p.m., Monday-Friday, with some flexibility based on business needs. This position is a combination of working onsite with occasional flexibility to work remotely based on assignments and business needs.
- Report Management - Generate andmaintaindaily, weekly, and monthly reports and statistics from multiple sources;identify issues, sources, and resources, summarize and present findings, trends, changes, and concerns to supervisor;proactively work with employees to correct errors or issues.
- Serve as a subject matter expert and resource for the division’s job functions for team members using advanced knowledge andexpertiseof court policies, procedures, and processes to answer questions, addresscomplexor unique case processing situations, and solve problems.
- Train new court operations staff on policies and procedures; provide training to all staff on new or changed/revised policies, procedures, processes, or systems; prepare training material as applicable; spot check employee work to ensure understanding.
- Review legal documents for completeness, adequacy, accuracy, restricted identifiers, and compliance with rules and/or statutes; determine processing required and take necessary action in accordance with court rules, statutes, and procedures; maintain and organize division or county resources and materials electronically while utilizing applicable technology.
- Communicate via phone, mail, and/or e-mail with court partners and customers.
- Provide input on workflow and process improvements; make suggestions for improved methods using technology; serve as a change influencer.
- Utilize applicable technology (i.e.,operating and information systems and/or programs) and office equipment to perform and complete work assignments including advanced financials.
Education and Experience:
- High school diploma or equivalent
- Two yearsof experience as a Court Operations Associate or equivalent experience which may include but is not limited to customer service, administrative work, office, and clerical work. (For example: bank teller, cashier, court clerk, legal assistant, medical billing specialist).
