The Office Manager is a key member of the funeral home leadership team, responsible for ensuring smooth daily operations, exceptional administrative support, and a professional, compassionate experience for families and guests. This role oversees a wide range of administrative and operational duties, including records management, scheduling, customer service, financial and contractual documentation, and communication support.
In some locations, the Office Manager may also supervise part-time Funeral Attendants, ensuring proper staffing levels, workflow coordination, and accurate submission of payroll for both hourly and on-call staff.
Key Responsibilities Administrative & Operational Support- Serve as the primary administrative contact for the funeral home, supporting families, staff, and vendors
- Manage front-of-house operations, including reception, phone coverage, and customer inquiries
- Maintain accurate records, case files, death certificates, and compliance-related documentation
- Coordinate scheduling for arrangements, services, and facility usage
- Assist funeral directors by preparing necessary paperwork, contracts, and service materials
- Support pre-need and at-need families with forms, signatures, and coordination as needed
- Provide compassionate, professional support to families in person, over the phone, and via email
- Ensure all guests receive an experience consistent with Milestone's Standard of Care
- Help resolve questions or concerns with empathy and professionalism
- Manage payment processing, invoicing, and deposit documentation
- Track accounts payable items and vendor invoices for home office processing
- Assist with financial reports, case logs, and reconciliation activities
- Support staffing coordination for part-time Funeral Attendants
- Oversee scheduling, timekeeping, and workload management for Attendant staff
- Approve weekly timesheets and ensure accurate payroll submission to Milestone Home Office
- Assist in training new administrative or funeral attendant team members
Systems & Technology- Maintain accurate data entry in case management and CRM systems
- Use Microsoft Office, Teams, and industry-specific platforms with proficiency
- 2+ years of administrative, office management, or customer service experience required
- Experience in funeral service, healthcare, hospitality, or related profession preferred
- Strong organizational and multitasking skills
- High level of professionalism, empathy, and discretion
- Demonstrated ability to work with grieving families
- Comfortable supporting and communicating with multiple stakeholders, including leadership
- Proficiency with computers and office software (Microsoft Office Suite required)
- Ability to problem-solve, anticipate needs, and work both independently and as part of a team
- Ability to work occasional evenings or weekends, based on business need
- Ability to lift up to 20 lbs. and move throughout the funeral home location
- Valid driver's license preferred
