Full time Monday-Friday 8 am- 4:30 pm
Pay rate: $26/hour
The Spirit of the Position:The Office Manager oversees the management of administrative functions for the operation’s portfolio including management of other office staff members. As a company devoted to promoting an employee-focused servant leadership culture, the Office Manager will support the programs and initiatives originating from our home office and help to support the individual needs of their operational teams throughout their assigned region.
PrincipleJob Duties:
- Maintain, update, and distribute daily, weekly, monthly, quarterly, and annual reports.
- Develop and administer effective training programs for each position to improve performance and always ensure professional customer relations.
- Act as a backup for answering incoming calls and return voicemails for potential and current monthly parkers.
- Prepares daily, weekly, monthly, and annual reports as required.
- Open and distribute mail daily.
- Responsible management of the office supply vendor for the ordering supplies and keeping up-to-date records of supply budgets for each location in coordination with the supply vendors.
- Schedules meetings for management staff as needed.
- Responsible for ordering office supplies for the department and planning and adhering to budgets for supplies while ensuring the office is stocked to perform all necessary functions without delay.
- Responsible for the overall organization of the operations office including ensuring supplies and kitchen are stocked.
- Manages and maintains the conference room schedule.
- Coordinates the repair and service of all phones, internet, office equipment in the operations office.
- Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy.
- Manage agendas, travel plans and appointments for upper management
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Support bookkeeping and budgeting procedures for the company
- Create and update databases and records for financial information, personnel, and other data.
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
- Submit reports and prepare proposals and presentation as needed
- Assist colleagues whenever there is an opportunity to do so
- Other related duties and projects as assigned.
Education
- High school diploma or GED required.
- Bachelor’s Degree or equivalent work experience is preferred.
Experience
- 2+ years in an administrative management role is required.
- Parking industry experience is preferred but not required.
- Excellent Excel, Word, Power Point and General Microsoft Office Applications skills.
- Recruitment skills and knowledge of an Applicant Tracking System is preferred.
- Ability to communicate professionally and effectively with all levels of the organization.
- Team building and management skills and abilities a must.
- Excellent phone, interpersonal, and organizational skills.
- Must have the ability to multi-task and have a strong attention to detail.
- Ability to speak, read, and comprehend the English language.
- Must be open to feedback, differing opinions and other points of view.
- Ability to be approachable and facilitate coaching conversations with employees and managers.
- Proactive and self-driven with the ability to multi-task and prioritize in a fast-paced culture.
- Ability to meet deadlines and work under pressure.
