Join our innovative Medical Marijuana Clinic as a Remote Scheduling Specialist and play a vital role in supporting patients on their wellness journey. This position offers an exciting opportunity to work remotely while ensuring seamless appointment coordination within the health, wellness, and fitness industry.

As a key member of our team, you will help optimize patient access to care by managing schedules efficiently and professionally. Your organizational skills and attention to detail will directly contribute to enhancing the overall patient experience.

Key Objectives

Coordinate and manage patient appointments with accuracy and timeliness. Facilitate smooth communication between patients, healthcare providers, and administrative staff. Maintain up-to-date scheduling records and ensure compliance with clinic policies. Support the clinic’s mission by delivering exceptional service in a remote setting.

Responsibilities
  • Schedule, reschedule, and confirm patient appointments via phone, email, and scheduling software.
  • Maintain accurate patient records and update scheduling databases regularly.
  • Respond promptly to patient inquiries and provide information regarding appointment availability and clinic services.
  • Collaborate with healthcare providers to optimize daily schedules and accommodate urgent appointments.
  • Identify and resolve scheduling conflicts or issues proactively.
  • Ensure all scheduling activities comply with HIPAA and clinic confidentiality standards.
  • Assist with administrative tasks as needed to support clinic operations.
Requirements

Proven experience in scheduling, appointment coordination, or related administrative roles, preferably in healthcare or wellness settings. Strong proficiency with scheduling software and Microsoft Office Suite. Excellent communication skills, both written and verbal. Ability to manage multiple tasks efficiently in a remote work environment. Detail-oriented with strong organizational abilities. Reliable internet connection and a dedicated home workspace. Familiarity with HIPAA regulations and patient confidentiality best practices is a plus.

Qualifications

High school diploma or equivalent required; associate degree or higher preferred. Previous experience in medical or wellness clinic settings is highly desirable. Customer service or patient-facing experience is an advantage.
