Role DescriptionThe Administrative Assistant – Billing & Bookkeeping Support (Part-Time) position provides administrative, billing, and bookkeeping support to the firm's management team and accounting functions. This position plays an important role in the day-to-day operations of the firm by assisting with administrative support, billing, bookkeeping, accounts receivable, accounts payable, and maintaining accurate financial and client records.
The successful candidate will assist with timely billing and payment activities involving clients, vendors, contractors, expert witnesses, courts, and other third-party entities. Responsibilities include preparing invoices, tracking attorney time entries, assisting with accounts receivable and accounts payable, processing payments, maintaining bookkeeping records, and supporting the firm's overall financial organization and recordkeeping.
This job listing is for a part-time,
on-site position based in Lake Charles, Louisiana, (approx. 27–32 hours per week.) The position offers the opportunity for future full-time employment based on performance, business growth, and the needs of the firm. Limited hybrid or work-from-home flexibility may be available in the future on a case-by-case basis, subject to management approval and firm needs.
Additional responsibilities include answering incoming telephone calls, scheduling appointments, coordinating calendars, organizing client files and documents, scanning, copying, data entry, mail processing, maintaining office records, and providing general administrative support to attorneys and staff. The successful candidate will help ensure efficient office operations while maintaining professionalism, accuracy, confidentiality, and exceptional client service.
Qualifications(required)
- Experience providing administrative, executive administrative, or office support in a professional environment.
- Strong organizational, time management, and multitasking skills, with the ability to manage calendars, files, deadlines, and routine office operations.
- Excellent communication skills and professional telephone etiquette when interacting with clients, courts, vendors, experts, and other third parties.
- Strong clerical skills, including data entry, document management, scanning, copying, filing, and record maintenance.
- Experience with, or a willingness to learn, billing, invoicing, accounts receivable, accounts payable, and basic bookkeeping, preferably within a law firm or other professional services environment.
- Proficiency with Microsoft Office applications is required. Experience with Quick Books, legal case management software (PCLaw, MyCase, Clio, etc.), or legal billingsoftware, in particular, is strongly preferred.
- Exceptional attention to detail, reliability, professionalism, discretion, intuition, and the ability to maintain strict confidentiality.
- Ability to work independently, exercise sound judgment, and contribute effectively as part of a collaborative team in a fast-paced office environment.
