We are seeking a highly organized Executive Assistant / Project Manager to support the CEO of a growing organization. This dual-role position requires a strategic thinker who can handle the CEO's day-to-day administrative tasks while also managing ongoing projects across various departments. The ideal candidate will ensure seamless operations, effective interdepartmental communication, and timely project updates to keep the CEO informed.
You must be detail-oriented, proactive, and adaptable to changing time zones, with the ability to manage multiple tasks in a dynamic startup environment. This is a remote position with opportunities to collaborate globally.
Key responsibilities include:
- Managing the CEO's day-to-day activities, including scheduling meetings, coordinating travel bookings, and handling administrative tasks.
- Overseeing ongoing projects across departments, providing regular updates to the CEO and ensuring project goals are met on time.
- Supporting document preparation, editing, and execution of agreements and due diligence tasks, coordinating with relevant tools and platforms.
- Organizing and maintaining company documentation, ensuring it is accessible and up-to-date.
- Managing payroll processes and supporting operational workflows.
- Facilitating interdepartmental communication, ensuring smooth collaboration between teams.
- Assisting with lead generation tasks, including research and outreach.
- Optimizing tools and workflows to enhance team productivity.
- Providing ad hoc administrative and project management support as needed.
Required skills and qualifications include:
- 3+ years of experience as an Executive Assistant, Project Manager, or in a similar role, preferably in a startup or fast-paced environment.
- Proven ability to manage multiple tasks and priorities with minimal supervision.
- Experience supporting C-level executives and managing complex schedules and projects.
- Exceptional organizational, problem-solving, and time-management skills.
- Strong communication skills with fluency in English (both written and verbal).
- Proficiency in managing operations, documentation, and project workflows.
- Ability to adapt to changing time zones and flexible working hours, especially when the CEO is traveling.
- Experience working with North American companies is a strong advantage.
- Tech-savvy and quick to adapt to new tools and platforms.
