Part-Time Administrative Coordinator, HBS Online

Reporting to the Human Resources Director, HBS Online, the Administrative Coordinator will manage a variety of activities essential to the smooth workings of our office including managing space needs, work tickets, coordinating administrative projects, maintaining onboarding program, continually improving processes and supporting documentation, and planning meetings and activities. This position will be approachable and proactive in the face of routine and non-routine requests.

The Coordinator will work directly with diverse stakeholders including facilities and operations staff, IT, hiring managers, new hires, and vendors.

Basic Qualifications:

  • High School Diploma, GED, or equivalent is required.
  • 5+ years of experience in administrative support role(s) is required.
  • Education beyond high school may count toward experience.
  • Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.

  • Attention to detail and strong customer service orientation
  • Strong written and verbal communication skills
  • Comfort in learning new technologies and systems; interest in business systems
  • Ability to manage multiple work streams
  • Strong judgment and discretion are critical, with an ability to recognize when issues need to be escalated
  • Familiarity with Outlook productivity tools and project management software preferred
  • BA/BS preferred
  • Pitches in where needed - "no job is too big or small"

Standard Hours/

Schedule:

This is a 20 hours/week, overtime eligible position.

Compensation Range/Rate: $37.38–$39.78 per hour, commensurate with experience

Other Information:

  • This is a primarily onsite position which we consider to be a combination of occasional remote and onsite work at our Boston, MA based campus. The schedule for this role can be split over 4 or 5 days (Monday
    - Thursday or Monday
    - Friday) with up to 1 of those days being remote. HBS expects all departments to provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.
  • We may conduct candidate interviews virtually (phone and/or via Zoom) and/or in-person for this role.
  • A cover letter is required to be considered for this opportunity.

Work Format Details:

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University's Policy on Employment Outside of Massachusetts.

Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
