1. This staff position in our Drexel Hill Office performs a variety of secretarial, administrative, and clerical work to help ensure the efficiency, effectiveness, and collaboration our agency needs to provide for the immediate safety and protection of children and their families.

This position provides secretarial support for agency administrators, assists with office management, and serves as a back-up supervisor for the clerical unit. Success in this role relies on good judgment; confidentiality; problem solving, organization, interpersonal, clerical, supervisory, and computer skills; effective prioritization; and dependability in time and performance. As an Administrative Assistant 1, you will perform the following duties:

  • Executive Assistance: Maintain the Agency Administrator’s calendar, prepare materials and arrangements for meetings and conferences, and assist with official correspondence
  • Communications Management: Establish and maintain cooperative working relationships with other departments and committees; answer, screen, and appropriately respond to or rout phone calls; sort and distribute incoming mail
  • Administrative Processes: Process check requests, purchase requisitions, and invoices; track travel requests; and coordinate data collection and annual renewals for compliance, planning, and other requirements
  • Workflow Training: Help new employees learn agency and office policies, procedures, and organization, as well as how to use both standard and specialized office equipment
  • Clerical Support: Assist with clerical procedures by proofreading, typing, and filing documents and other case materials including case records, forms, correspondence, and court summaries
Work Schedule and Additional Information:
  • Full-time employment
  • Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with a 30-minute lunch.
  • Telework:You may have the opportunity to work from home (telework) part-time. No telework for the first six months of employment. After an employee has completed six months of employment and have regular status, there may be opportunities for hybrid work, per the program offices’ hybrid schedule. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania.

    If you are unable to telework, you will have the option to report to the headquarters office in Drexel Hill. The ability to telework is subject to change at any time. Additional details may be provided during the interview.

QUALIFICATIONS Minimum Experience and Training Requirements:
  • Such training as may have been gained through graduation from a four year college or university; or any equivalent combination of experience and training.
Other Requirements:

  • You must be able to perform essential job functions.
Legal Requirements:
  • You must pass a background investigation.
  • This position falls under the provisions of the Child Protective Services Law.
