This role supports day-to-day personnel and administrative functions, including personnel record management, onboarding, timekeeping, and compliance with contract, company, and U.S. Army requirements. Personnel Assistant III ensures timely and accurate processing of employment documentation while maintaining confidentiality and adherence to DoD and contractor personnel policies. Responsibilities
* Maintain accurate and up-to-date employee personnel files in accordance with company policy, Army contract requirements, and regulatory standards.
* Assist in preparing HR forms, reports, and personnel action requests (PARs).
* Support tracking of employee assignments, rotations, and contract-mandated requirements.
* Assist in processing new hire documentation, such as but not limited to Systems Access Requests, and documents required to obtain a Department of War Common Access Card
* Coordinate with site security, IT, and supervisors to ensure smooth onboarding.
* Maintain accurate time and attendance records in compliance with Defense Contract Audit Agency (DCAA) requirements.
* Process Time-Off Requests (TOR), overtime authorizations, and shift adjustments.
* Support supervisors and employees in resolving timekeeping discrepancies.
* Provide employees with information on company policies and respond to routine employee inquiries and escalate complex issues to HR management.
* Assist employees in understanding payroll transactions and payments; may be required to coordinate with the payroll department to resolve issues.
* Perform basic payroll related tasks such as reconciliation of expense reports, tracking M&IE disbursements, and reviewing other payroll related documentation.
* Support travel processes including M&IE advances, travel reimbursements, and coordination of employee travel logistics
* Ensure employment documentation complies with U.S. Army contract requirements, FAR/DFARS labor clauses, and Equal Employment Opportunity (EEO) guidelines.
* Support audits, inspections, and government reporting requirements.
* Assist in maintaining personnel accountability records for Army contract reporting.
* Prepare correspondence, reports, and presentations for PMO management.
* Schedule meetings, coordinate training sessions, and assist with communication campaigns.
* Provide support to site leadership for workforce-related tasks as required. Physical Demands & Working Environment:
Work is performed in a remote, home-office environment. The individual must be able to sit for extended periods while conducting virtual meetings, preparing reports, and completing administrative tasks. Reliable internet access and a dedicated workspace that supports confidentiality and productivity are required. The individual must be able to work independently, manage multiple priorities, and maintain compliance with company, contract, and U.S. Army standards while performing duties in a remote setting.
Qualifications
* Must be able to obtain and maintain a Common Access Card (CAC).
* Must be able to obtain Tier 1/NACI (Public Trust) background eligibility.
* Must be able to travel within the United States as required; travel up to 75% of the time.
* Must have a valid driver's license with proof of vehicle insurance.
* Must have a REAL .
* High school diploma or equivalent is preferred; however, equivalent relevant work experience may be substituted.
* 3-5 years of administrative, or personnel support experience (military contractor or Army site preferred).
* Experience with personnel recordkeeping and compliance requirements.
* Basic knowledge of labor regulations (FLSA, EEO, FMLA, and applicable FAR/DFARS clauses).
* Timekeeper experience, preferably Deltek T&E (Preferred).
* Experience with basic finance related duties such as reconciliations, tracking expenses, or reviewing payroll related documentation, preferred.
* Basic knowledge of payroll processes, payroll documentation, and employee pay inquiries.
* Desired experience supporting travel processes, including per diem requests, travel reimbursements, and coordination of employee travel logistics.
* Basic understanding of travel regulations, per diem guidelines, and reimbursement procedures.
* Strong organizational and data entry skills with attention to detail.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Ability to manage multiple priorities and projects in a dynamic and fast paced environment.
