Job Description SummaryThe CW Administrative Specialist provides a broad range of technical and administrative support for the Weld County Department of Human Services Child Welfare Division leadership and staff, with a commitment to customer, Division, and Department success. Serves as a supportive, engaged member of the Child Welfare team, assisting with various tracking, reporting, documentation, dissemination, and follow up related to division, Department, State, and Federal requirements.
Primary office location is in Greeley, but employee may perform work at any Weld County office. Reliable, predictable, attendance within designated scheduled hours. This position is in-person and may be eligible for up to eight (8) hours of telework per week of remote working that may be approved after six (6) months of employment with the County and upon completion of initial training and demonstration of high work performance.

Job DescriptionAdministration - 50%
- Accurately complete various required forms across several systems; regularly accesse multiple database systems, including the state database, Binti, Colorado State Courts – Data Access program, and Colorado Bureau of Investigation (CBI) Secure Document Delivery System (SDDS).
- Access and disseminate fingerprint results from secure SDDS system and ensures compliance with Criminal Justice Information Services (CJIS) policy protecting criminal justice information.
- Utilize appropriate systems to assist in tracking compliance in various areas.
- Complete placement information forms: service referral forms, childcare forms for kinship and foster care providers, and Adam Walsh Checks.
- Extend target dates in family services plans.
- Scan documents into OnBase.
- Enter records of contacts into the state database.
- Update health passports.
- Update the state data base with current addresses and phone numbers and other necessary information.
- Assist with follow-up phone calls and emails to ICPC liaison regarding monthly contacts and 90-day reports.
- Assist with travel requests to support caseworkers and families. This may include researching flights, hotels, and providing recommendations to finalize travel arrangements.
Collaboration - 45%
- Assist with developing and maintaining various data tracking spreadsheets to ensure ongoing and accurate data collection; provide data to caseworkers to assist in meeting deadlines.
- Create easy to understand and visually engaging reports as needed and requested.
- Assist with preparation for internal case audits of Child Welfare cases.
- Support various child welfare activities through preparation including preparing staff for in-house foster care, case, and assessment reviews, and preparing review outcome reports.
- Assist with combining state review outcomes with in-house review outcomes into singular, easily digestible reports.
- Demonstrates a high level of professionalism, active listening, and verbal and written communication during all interactions.
- Interacts in various settings with internal and external customers, Department and Division leadership, and other professionals and stakeholders.
Policies & Procedures - 5%
- Understands and implement rules and regulations for Child Welfare organizations in Colorado outlined in the State of Colorado Department of Human Services Volume 7 guidelines.
