Role DescriptionThis is a full-time, on-site/in-office role based in Marietta, GA. The Event Coordinator coordinates administrative and logistical details for events, client office visits, and training programs. This role supports Event Planners and leadership by managing Cvent registrations, attendee communications, vendor coordination, travel arrangements, reporting, and onsite logistics. Flexible work from home days may be available when clients are not in the office, based on scheduling needs and performance.
A successful candidate will demonstrate professionalism, strong organization, clear communication, and a customer-service mindset. They should be detail-driven, self-motivated, comfortable managing multiple priorities and projects at a time, polished in presence, a quick learner, and able to keep event details moving accurately and efficiently.
Key Responsibilities- Coordinate logistics, timelines, and deliverables for client visits, internal training events, and company events.
- Manage Cvent registration platform:
- Builds and active registrations
- Attendee registration quality checking
- Communications
- Confirmations
- Event reporting
- Book and coordinate travel arrangements, including but not limited to airfare, hotel accommodations, and ground transportation.
- Maintain event calendars, schedules, attendee lists, project trackers, and planning documents.
- Process event invoices, expense reports, and budget tracking documentation.
- Coordinate with vendors, venues, and internal departments to fulfill event requirements.
- Assist with event materials, agendas, signage, name badges, attendee resources, and more.
- Provide onsite support, including registration management, attendee assistance, room setup, and issue resolution.
- Maintain accurate event records and assist with post-event reporting, reconciliation, and follow-up.
- Support Event Planners and leadership on special projects, process improvements, and department initiatives.
- Bachelor’s degree or equivalent experience.
- 1-3 years of event, hospitality, administrative, or project coordination experience.
- Experience with Microsoft Office;
Excel proficiency preferred. - Experience with event registration software, including Cvent, preferred.
- Strong organizational, written and verbal communication, and customer service skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Detail-oriented with the ability to maintain accurate records, reports, and planning documents.
- Ability to lift up to 30 pounds.
- Understanding that Event days are long and we can be working 16+ hours onsite.
- Polished, professional presence with the ability to support clients, attendees, vendors, and internal stakeholders.
