Job Summary

The School of Kinesiology is looking for an Administrative Assistant to provide in-person administrative, operational, and project support for the Dean's Office and Faculty Affairs. Reporting to and supporting the Senior Assistant to the Dean, this role will provide day-to-day coordination and operational support for the Dean's suite, as well as assist with projects, programs, events, engagement activities, communications, and special initiatives.

Responsibilities
  • Dean & Faculty Affairs Support (EF) - 30% Manage faculty standing meeting calendars, order food and gifts, restock supplies, support years-of-service recognition, and provide front desk coverage as needed.
  • Administrative Coordination & Operations (EF) - 25% Prepare expense reports, coordinate travel and reimbursements, support office operations, and assist with culture initiatives through scheduling, note‑taking, documentation, and follow‑up.
  • Events & Engagement (EF) - 20% Support planning, logistics, communications, and execution for faculty events and appreciation initiatives.
  • Project & Program Support - 15% Create and maintain Wrike boards for Faculty Affairs projects, culture and climate initiatives, and faculty awards tracking.
  • Communications & Special Projects - 10% Update Faculty Affairs and Dean's Office website content, support special projects, and draft or coordinate internal communications.
What You’ll Do
  • Builds effective relationships with colleagues, leaders, and stakeholders across diverse backgrounds.
  • Anticipates needs, follows through, and keeps stakeholders informed.
  • Shares information effectively through verbal, written, and multi‑format communications, including accurate and easy‑to‑follow documentation.
  • Adjusts approach as needs change while maintaining quality and consistency.
  • Handles sensitive information with discretion and confidentiality.

Required Qualifications
  • Bachelor’s degree or equivalent combination of education, training and experience.
  • 2 years in a similar role requiring confidentiality, customer service, organization, and prioritization.
  • Demonstrated knowledge of data management principles, including maintaining data integrity and handling of confidential materials.
  • Experience using business software applications for document preparation, spreadsheet management, basic data tracking, and presentations.
  • Completes work with accuracy, consistency, and sound organization.

Additional Information

This is a full-time, benefits-eligible position, 40 hours per week, onsite at the School of Kinesiology, 830 N. University, Ann Arbor, MI. The typical schedule is Monday-Friday, with flexibility between 7:30 AM and 5:00 PM. Occasional early morning or evening event support…
