Job Description

The Student Support Specialist
- Allied Health supports Minnesota West's mission of preparing learners for a lifetime of success by providing accurate, timely, and student-centered administrative and operational support for Allied Health programs. With emphasis on Nursing Assistant programming and test-out related processes, the position helps students, challenges, faculty, staff, and community partners navigate required steps efficiently and consistently, supporting student success, community engagement, and integrity in college processes.

This position requires on-site work on the Pipestone, MN campus and is not eligible for telework or remote work.

Principal Responsibilities and Results

Nursing Assistant Test-Out Registration, Payment Setup, and Administrative Readiness

  • Coordinate the front-end administrative process for Nursing Assistant test-out requests for Minnesota West students, external testers and challenges.
  • Receive, track, and respond to inquiries and requests from students, challenges, facilities, high schools, internal departments, and community partners in collaboration with the Nursing Assistant Program Coordinator, faculty, and other college staff as appropriate.
  • Support registration, payment-source identification, testing system setup, and related documentation for Nursing Assistant test-out participants.
  • Create and maintain accurate records in college and testing systems, including R School Today (RST) and Test Master Universe (TMU), consistent with established procedures.
  • Communicate routine process information, timelines, next steps, and missing requirements to students, challenges, faculty, staff, and partners.
  • Provide administrative support and documentation to assist with test-out scheduling, skills-observation coordination, completion tracking, and required reporting.
  • Support proctoring or other testing-related needs when appropriate and within the scope of the position.
  • Identify and refer academic, competency, testing-integrity, observer, eligibility, or compliance-related questions to the Nursing Assistant Program Coordinator, dean, or appropriate academic administrator.

Allied Health Student Registration Support

  • Process student registrations for specialized program areas, including collecting, recording, verifying, reconciling, maintaining, and reporting student data.
  • Maintain accurate records so registration, payment, and reporting information is available when needed and regulatory or institutional reporting requirements can be supported.
  • Verify, document, and coordinate payment sources, including third-party payers, high schools, facilities, students, Customized Training, or other approved sources of payment as appropriate.
  • Coordinate with the Business Office, Customized Training, Student Services, faculty, and academic leadership to resolve routine registration or payment-source issues.

Administrative Support for Nursing Assistant Department

  • Provide, evaluate, and continually improve administrative support to the Nursing Assistant department and other assigned Allied Health/Customized Training areas.
  • Prepare and process routine communication, course information letters, testing information, correspondence, and related materials accurately and in a timely manner.
  • Maintain student, candidate, customer, and partner databases so information is accurate, current, and retrievable.
  • Order, track, and maintain supplies, textbooks, and materials needed for assigned program areas.
  • Run and track background studies for Allied Health programs, submit payment with individual studies as appropriate, organize results, and provide results to faculty or program leadership.
  • Complete student, candidate, and partner follow-up communication as needed.
