Position Summary The Client Intake & Administrative Assistant is the first point of contact for all new and returning clients. This role is critical in ensuring client information is handled with precision, follow-ups are timely, and files are processed accurately. You’ll report directly to the Client Experience Manager and play a key role in keeping our operations smooth and professional.

- Greet clients and notify the legal team upon arrival
- Manage and follow up with all new leads via phone and email
- Enter client information into Lead dashboards accurately and promptly
- Schedule case evaluations with the Client Experience Manager
- Send, track, and follow up on retainer agreements and credit card authorization forms
- Process payments and open files in Clio Manage
- Send welcome letters and assign tasks post-retention
- Maintain a high level of accuracy in all data entry and conflict checks
- Open and organize physical case files as needed
- Collaborate and adapt to changing priorities and responsibilities as the firm grows
- Extreme attention to detail
- 1+ years of experience in customer service or other client-facing roles
- Prior intake experience strongly preferred
- Strong written and verbal communication skills
- Comfortable working in a fast-paced, evolving environment
- Friendly and professional demeanor
- Technologically proficient and quick to learn new platforms
- Prior legal or administrative experience preferred but not required
