Summary of Position:
The Grant Operations Associate is responsible for managing grant reporting, compliance, and operational processes for Western Technical College's portfolio of federal, state, and privately funded grants, ensuring accurate data collection, timely report submission, effective project coordination, and support for grant development and administration.
This position is a non-benefit eligible part-time position working 20-23 hours/week with flexible hours Monday-Friday between the hours of 7:00am & 5:00pm. This position is hybrid eligible (some remote work may be available) after the training period.
Essential Functions1. Maintain and uphold the College values of Learning, Excellence, Accountability, Diversity, Student Success, Teamwork, Integrity, and Respect. Regular attendance is required.
2. Perform office functions which may include but are not limited to: respond to internal/external customers and staff; create and modify documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.
3. Complete all required College training and be responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.
4. Student Success is the cornerstone of Western's culture, and the college may assign employees as needed to other areas or additional duties to foster this success.
5. Grant Reporting & Administration
- Supporting Action/Task May Include:
- Maintain participant, client, and performance data for grant-funded programs.
- Manage grant reporting databases and tracking systems.
- Collect and compile data from project staff, departments, and partners.
- Monitor reporting deadlines and prepare required reports for submission.
- Review data for accuracy and follow up on missing or incomplete information.
- Maintain reporting procedures, records, and supporting documentation.
6. Grant Development & Submission Support
- Supporting Action/Task May Include:
- Monitor funding opportunities from federal, state, and private sources.
- Conduct background research and gather information for grant proposals.
- Assist with editing, formatting, and assembling grant applications.
- Coordinate proposal timelines, required documentation, and submission requirements.
- Maintain proposal records, checklists, and supporting materials.
7. Grants Office Operations Support
- Supporting Action/Task May Include:
- Maintain departmental systems, files, templates, and operational records.
- Coordinate meetings, prepare agendas and minutes, and track follow-up items.
- Assist with project communications and stakeholder outreach.
- Support travel, purchasing, and other administrative processes.
- Assist with implementation of office procedures, technology tools, and special projects as assigned.
Minimum Qualifications:
- Associate's degree OR Education combined with appropriate occupational experience in related field totaling 2 yrs OR Related occupational experience totaling 2 yrs
This position reports to:
Director of Grants
Starting annual/hourly salary range based on education and experience: $22.28 - $28.54
