Telework is NOT available for this position. The schedule is Monday-Friday 8am-5pm with a 1-hour lunch break and 2, 15 minute breaks.

The Administrative Receptionist serves as the vital first point of contact for our agency, setting the tone for all visitor and caller interactions. This role is distinguished by its unique blend of front-line customer service and behind-the-scenes administrative support. A successful candidate in this position acts as the central hub of our daily operations—seamlessly balancing public-facing duties with essential tasks like financial processing, document evaluation, and facility coordination to ensure our team and clients are fully supported.

Key Responsibilities Day-to-day Responsibilities Of This Position
  • Being the public's first point of contact as the agency's receptionist.
  • Directing all incoming calls and visitors appropriately and efficiently.
  • Sorting, labeling, filing, and retrieving documents and other materials.
  • Distributing all incoming mail.
  • Processing cash and checks.
  • Managing phone directory.
  • Coordinating with facilities for maintenance.
  • Acting as a resource for providing information or determining the most effective way of meeting the needs of management, staff, clients, or customers.
  • Processing documents; reviewing for accuracy and completeness; updating information; evaluating against policy; comparing elements for consistency or logical relationship.
  • Maintaining spreadsheets.
  • Scanning documents.
  • Assisting other Agency personnel with projects at manager's discretion.

Qualifications Minimum or day-one qualifications:
  • Schedule & On-Site Availability:
    Must be able to work 100% on-site (telework is not available for this role). The required schedule is Monday through Friday, 8:00 AM to 5:00 PM, with a one-hour lunch break.
  • Customer Service

    Experience:

    Proven experience in a customer-facing or reception role, with a professional and welcoming demeanor.
  • Communication

    Skills:

    Strong verbal and written communication skills to effectively direct inquiries and interact with diverse populations.
  • Basic Technical Proficiency:
    Comfort using basic office software (including standard email and spreadsheet applications) and operating standard office equipment (scanners, computers).
  • Attention to Detail:
    Strong organizational skills with the ability to sort, file, and review documents for accuracy.
  • Basic Math

    Skills:

    Competency in basic arithmetic for handling cash and checks.
Preferred Or Trainable/on-the-job Qualifications
  • Bilingual Proficiency (Highly Preferred):
    Fluency in both English and Spanish to effectively communicate with a diverse range of callers and visitors.
  • Financial Processing:
    Prior experience processing payments, cash, or checks in a professional setting.
  • Multi-Line Phone Systems:
    Experience routing calls and managing internal phone directories.
  • Document Evaluation:
    Experience reviewing forms or documents against specific policies for completeness and logical consistency.
  • Facilities Coordination:
    Familiarity with submitting and tracking maintenance requests.
  • Advanced Data Entry:
    Experience maintaining complex spreadsheets or databases.
