We are seeking a detail-oriented and reliable Admin Support – Compliance Specialist to join our core operations team. In this full-time role, you will be responsible for managing day-to-day background check order entry, assisting with quality assurance and other compliance related tasks, ensuring all data handling meets strict federal, state, and industry compliance standards (including FCRA guidelines). The ideal candidate is an independent worker that thrives in a fast-paced environment, possesses high accuracy in data entry, and understands the critical nature of handling Personally Identifiable Information (PII) with discretion.
Key Responsibilities 1. Order Entry & Processing- Data Verification: Accurately enter, process, and update candidate background screening orders in cFIRST’s proprietary software and partner platforms.
- Document Audit: Review candidate consent forms, release authorizations, and identifying documentation for completeness and legal validity before submitting for processing.
- Turnaround Management: Track active orders to ensure background checks are processed efficiently within established Client Service Level Agreements (SLAs).
- PII & Privacy Protection: Strictly adhere to company protocols, FCRA (Fair Credit Reporting Act), and privacy laws when handling sensitive personal data.
- Compliance Checks: Assist in auditing background reports for compliance with federal, state, client SLAs and industry-specific regulations before report delivery.
- Discrepancy Monitoring: Flag data inconsistencies, incomplete releases, or missing information immediately to team leads or compliance managers.
- Client & Candidate Logistics: Monitor support queues to answer routine order status inquiries or request updated documentation from candidates.
- Record Keeping: Maintain organized electronic records, audit logs, and compliance documentation.
- Process Improvement: Collaborate with internal teams to refine daily operational workflows and improve data quality assurance.
- Experience: Minimum 2 years of professional office/administrative experience (prior experience in background screening, legal support, HR, or compliance is a strong plus).
- Order Processing: Proven experience with high-volume data entry, order entry, or workflow tracking systems with a high degree of speed and accuracy.
- Data Security & Discretion: Demonstrated understanding of how to handle confidential records and Personally Identifiable Information (PII).
- Attention to Detail: Meticulous eye for detail with a track record of catching subtle errors in spelling, dates, and documentation.
- Tech Savvy: Proficiency with MS Office Suite (Excel, Word, Outlook) and comfortable learning new software platforms quickly.
- Communication: Clear written and verbal communication skills for cross-functional collaboration and documentation.
