Job SummaryThe Administrative Assistant II will provide office management including but not limited to: provide quality customer service, address correspondence of multiple email addresses; complete scheduling for multiple professionals via multiple software systems. This position will provide support to the Assistant Directors and Executive Director in the Housing & Residence Life office. The position will create and/or maintain associated documents and databases, arrange/coordinate meetings, special events and updates supervisor(s) of critical issues/events.
This position will provide detailed responses to requests for information, and reports.
- Provide front line support and customer service for the Housing Administration office at the front receptionist counter.
- Office management including but not limited to provide quality customer service, open the office daily, address correspondence, return all voicemails, monitor shared Housing email inbox, monitor office supplies/inventory, respond to general financial student housing questions/ needs.
- Interact with students, parents, campus colleagues, and university guests in a friendly and engaging manner.
- Respond to written and verbal inquiries.
- Assist with and support departmental and university initiatives, events and activities in planning, execution, and evaluation (i.e., move-in, Orientation events, etc.).
- Utilize University systems in preparation of administrative reports and financial documents and assist with departmental reports and assessment.
- Provide back up support for students financial accounts in Star Rez. Including troubleshoot charges and credits on student accounts and work with campus partners (specifically Student Business Services) to ensure housing needs/ Tools, etc. are met and maintained.
- Other duties as assigned.
- High School Diploma or GED equivalent.
- Five (3) years related experience and training.
- Strong hands-on experience with MS Excel, Word, and Outlook.
- May accept a combination of education and experience.
- Familiarity with database and technology software systems (i.e., Star Rez, Peoplesoft, Transact, etc.).
- Finance experience with different accounting systems or software’s.
- Excellent communication skills, both verbal and non-verbal.
- Proven organizational skills.
- Demonstrates professional demeanor and appearance.
- Ability to multi-task in a fast-paced environment.
- Knowledge of Microsoft Office Products (Word, Excel, PowerPoint).
