Role Overview
We are looking for a highly organized, proactive, and detail-oriented Operations Associate to ensure the smooth functioning of our day-to-day operations. This person will be essential in ensuring operational efficiency, and internal coordination at our home office. You’ll work closely with the Management Team, advisors, and external vendors to keep the processes running.
Key Responsibilities
- Serve as our key liaison between the IT provider to ensure systems are up to date, secure, and operating efficiently
- Support compliance to coordinate and follow up on regulatory requirements and internal policies.
- Manage office space and operations: supplies, equipment, space planning, vendor relations
- Schedule and manage meetings, travel and logistics for senior leadership.
- Help plan, communicate, and execute internal meetings, trainings, and staff events.
- Assist in onboarding new staff (orientation, systems access, training on internal tools).
- Various special projects to assist executive team as needed
- Support finance in accounts payable, account reconciliation,
Qualifications
- 3-5+ years in office / operations / administrative management, preferably in financial services, wealth management, or related professional services.
- Proactive problem solver and critical thinker, able to take ownership of tasks, anticipate issues, and propose solutions.
- Exceptional ability to prioritize, juggle multiple projects, coordinate across teams, meet deadlines.
- Strong written & verbal communication; comfortable interacting with senior leadership, clients (interactions may be limited), vendors, and staff.
- Experience with common office productivity tools (MS Office / G Suite), familiarity with CRMs, project management tools, financial planning software is a plus.
- Must maintain high degree of accuracy and attention to detail; experience or comfort with regulatory / compliance matters will be beneficial.
- Able to adjust to changing priorities; collaborate well with diverse team members.
- Previous experience at an RIA or wealth management firm a plus
- Strong proficiency in Microsoft Office, SharePoint, and Adobe
- Ability to handle sensitive and confidential information.
