Compliance Administrator (Part-Time, Hybrid)
Reports to:
HR Manager
Status:
Non-Exempt, Part-Time (est. 20–25 hrs/week)
Location:
Hybrid (Work From Home + occasional in-office as needed)
The Compliance Administrator is responsible for maintaining Nexus Integrity Management's compliance status across third-party safety and supplier qualification platforms (e.g., NCMS, Avetta, ISNetworld, Veriforce, and similar client-required systems). This role ensures documentation, certifications, insurance records, and safety data remain current and accurate so NIM maintains uninterrupted eligibility to bid and perform work for clients requiring these credentials.
Key Responsibilities- Maintain and update company profiles across all required safety compliance platforms (NCMS, Avetta, and others as required by clients/contracts)
- Track submission deadlines, renewal dates, and expiration cycles for certifications, insurance certificates, safety statistics, and training records
- Gather and upload required documentation from internal departments (HR, Safety, Operations) — e.g., OSHA logs, EMR/experience modification rates, insurance certificates, drug testing policies, training records
- Monitor and respond to compliance platform notifications, audit requests, and client-specific pre-qualification requirements
- Coordinate with the Safety Manager and HR to ensure incident/injury data (TRIR, DART, EMR) is accurately reported and up to date
- Serve as point of contact for compliance-related client inquiries and audits
- Maintain an internal tracker/calendar of all platform accounts, renewal deadlines, and required action items
- Flag compliance gaps or upcoming lapses proactively to leadership
- Assist with new client onboarding requirements when a new safety platform or pre-qualification system is requested
- Support general compliance-related administrative tasks as needed
- Other duties as assigned
- 1–3+ years of experience in compliance, safety administration, HR administration, or a related field (construction, pipeline, energy, or industrial services experience a plus)
- Familiarity with third-party contractor safety/compliance platforms (NCMS, Avetta, ISNetworld, Veriforce, etc.) strongly preferred
- Strong attention to detail and organizational skills; comfortable managing multiple deadlines independently
- Proficient with Microsoft Office/Google Workspace; ability to learn new software platforms quickly
- Self-motivated and reliable in a remote/hybrid work environment
- Strong written and verbal communication skills for coordinating across departments
- Hybrid role — primarily work from home with periodic in-office presence as business needs require
- Part-time schedule with flexibility, though some deadlines will require prompt turnaround
- Occasional coordination with Safety and HR teams during standard business hours
