Student Administrative Assistant

Southern New Hampshire University's traditional campus is seeking a dependable and motivated Student Administrative Assistant to join the Campus Wellness Center.

This position offers students the opportunity to develop professional administrative and customer-service skills in a busy healthcare environment. This role involves more responsibility and independent decision-making than a typical general office position. It is especially well suited for students who have previous office, administrative, customer-service, or healthcare-related experience and are confident managing several responsibilities at once.

Main Responsibilities:

  • Welcome students and visitors and provide professional front-desk assistance.
  • Answer telephone calls, take accurate messages, and respond to routine questions in accordance with Wellness Center policies.
  • Manage competing needs, including telephone calls, students at the reception window, online requests, and inquiries from professional staff.
  • Schedule, block, cancel, and reschedule appointments and meetings using Medicat, the electronic health record system.
  • Review and address requests received through the secure patient portal.
  • Interpret and process student medical records by conducting identity verification, auditing immunization mandates, accurate data entry, and managing professional follow-up communications for incomplete records.
  • Scan and accurately file confidential health documentation in students' electronic records.
  • Follow established procedures for emergency student walk-ins, students in crisis, field calls, and ambulance requests by promptly notifying the appropriate professional staff.
  • Promote health and well-being initiatives by participating in "wellness wagon" outreach, hosting event tables, and designing a monthly thematic educational bulletin board.
  • Maintain confidentiality and comply with all Wellness Center privacy requirements.
  • Provide front-desk coverage during professional staff absences, lunches, meetings and work from home schedules.
  • Complete opening and closing procedures for the front office.
  • Prepare flyers, assemble educational packets, sort mail, photocopy, scan, and complete other general office responsibilities.
  • Perform additional duties in support of Wellness Center operations.

Minimum Requirements:

  • Enrollment in an Undergraduate Day or Graduate Day program at SNHU
  • Work Study as part of your Financial Aid Package
  • Previous experience in an office, healthcare setting, reception area, busy restaurant or customer-service position is strongly preferred.

Successful candidates should demonstrate:

  • The ability to remain calm, organized, and courteous in a busy environment.
  • The ability to manage frequent interruptions and multiple ongoing responsibilities.
  • Strong attention to detail and the ability to enter information accurately.
  • The ability to learn, retain, and independently apply multiple policies and procedures to different situations.
  • Flexibility in adapting to policies and procedures that may change quickly.
  • Sound judgment and the ability to recognize when a matter must be referred to professional staff.
  • Dependability, punctuality, and a commitment to maintaining confidentiality.
  • Comfort learning and working in electronic recordkeeping and scheduling systems.
  • Strong verbal and written communication skills in English.
  • Professionalism when interacting with students, families, visitors, and University employees

Scheduling and Commitment:

  • Students must be able to work a minimum of 12 hours per week.
  • The position requires one late shift each week assigned on a rotating basis.
  • Consistent attendance and dependable front-desk coverage are essential.

Compensation:

The hourly pay range for this position is $13.00 - $15.00. Actual offer will be based on skills, qualifications, experience and internal equity, in addition to relevant business considerations.
