POSITION SUMMARY
The Customer Service and Accounts Receivable Specialist serves as a key member of the finance and administrative teams, providing exceptional customer service while supporting accounts receivable, order processing, seminar registrations, financial transactions, and general administrative operations. This position serves as a primary point of contact for customers, responding to inquiries and ensuring a positive customer experience while maintaining accurate financial records and supporting organizational business processes.
The position reports to the Office Manager. Residency in the greater Charlottesville area is preferred. The hiring range for this position is between $24.00 – $28.00 an hour ($49,920.00 – $58,240.00 annually) commensurate with experience.
- Serve as a primary point of contact for customer inquiries by phone, email, and online platforms.
- Assist customers with event registrations, publications, online learning access, and technical support.
- Process invoices, customer payments, refunds, credits, and account adjustments.
- Monitor accounts receivable and follow up on outstanding balances.
- Manage customer accounts and maintain accurate records in financial and customer databases.
- Prepare reports, deposits, reconciliations, and supporting financial documentation.
- Create and distribute Continuing Legal Education certificates and other customer deliverables.
- Collaborate with colleagues across departments to deliver exceptional customer service.
- Support office operations through data entry, filing, scanning, copying, records management, and managing office mail and other correspondence.
- Coordinate office operations by maintaining office supply inventories and shared work spaces, managing the organization-wide calendar of events in collaboration with all departments, and assisting with employee engagement initiatives, morale events, and office-wide activities to support an efficient, informed, and positive workplace culture.
- This position may require occasional evening or weekend work to support organizational programs and events.
- Associate degree in accounting, business administration, or a related field – preferred.
- Three or more years of accounting, bookkeeping, accounts receivable, customer service, or administrative experience.
- Experience with accounting software and ERP systems, particularly Net Suite.
- Strong proficiency with Microsoft Office, particularly Excel.
- Excellent customer service, communication, and organizational skills.
- Ability to prioritize, meet deadlines, and work effectively in a team-oriented environment.
Hybrid work schedule – Monday through Thursday in the office. Remote work on Fridays.
