MediaNL is seeking an organized, dependable, and detail-oriented Administrative Data Entry Coordinator to support our remote administrative and information-management operations.
This role combines data entry, records coordination, document processing, spreadsheet maintenance, digital filing, and general administrative support. The successful candidate will help ensure that business information is entered accurately, properly organized, and maintained according to established procedures.
This position is well suited for someone who enjoys structured administrative work, is comfortable using computers and digital systems, and can work independently while meeting deadlines.
Position SummaryThe Administrative Data Entry Coordinator will be responsible for entering, reviewing, updating, and coordinating information across company databases, spreadsheets, records, and administrative systems.
Daily responsibilities may include processing incoming information, maintaining electronic records, updating spreadsheets, reviewing documents for completeness, organizing files, monitoring administrative requests, and supporting internal teams with routine data-related tasks.
The successful candidate should demonstrate accuracy, organization, confidentiality, reliability, and professional communication.
Key Responsibilities Data Entry Coordination- Enter information accurately into databases, spreadsheets, CRM systems, and other approved platforms.
- Transfer data from forms, emails, documents, reports, and other authorized sources.
- Create new records and update existing information.
- Review completed entries for accuracy and completeness.
- Verify names, dates, contact information, reference numbers, and other relevant data.
- Identify missing, duplicate, outdated, or inconsistent information.
- Correct routine errors according to established procedures.
- Coordinate outstanding data-entry assignments and follow-up requirements.
- Maintain consistent formatting and recordkeeping standards.
- Provide routine administrative assistance to supervisors and internal teams.
- Process forms, documents, and internal requests.
- Maintain administrative trackers, logs, and task lists.
- Prepare basic reports, summaries, and correspondence.
- Monitor assigned tasks and approaching deadlines.
- Retrieve records and information for authorized employees.
- Follow up on pending administrative activities.
- Assist with special projects and operational assignments.
- Maintain spreadsheets using Microsoft Excel, Google Sheets, or similar applications.
- Enter, organize, sort, and filter information.
- Review spreadsheets for errors and missing information.
- Update database records as required.
- Assist with identifying duplicate or outdated records.
- Perform routine data-quality checks.
- Support database cleanup and reconciliation activities.
- Prepare basic data summaries when requested.
- Review incoming forms and documents for completeness.
- Extract required information for data entry and record updates.
- Process documentation according to established procedures.
- Identify missing or unclear information.
- Upload and categorize completed documents.
- Maintain accurate records of processed documentation.
- Assist with document indexing and archiving.
- Follow established document-management standards.
- Maintain organized electronic filing systems.
- Upload, rename, categorize, and archive files.
- Follow established file-naming conventions.
- Maintain structured shared folders and cloud-based records.
- Retrieve files for authorized team members.
- Identify incorrectly filed or duplicate documents.
- Assist with routine digital-file cleanup.
- Ensure administrative records remain organized and accessible.
- Monitor assigned administrative inboxes and communication channels.
- Review incoming requests and determine appropriate actions.
- Respond to routine administrative inquiries when authorized.
- Forward specialized requests to appropriate team members.
- Draft basic professional correspondence.
- Track communications requiring additional action.
- Follow up on outstanding requests.
- Provide status updates to supervisors when required.
- High school diploma, secondary school qualification, GED, or equivalent.
- Basic to intermediate computer proficiency.
- Good typing and data‑entry abilities.
- Strong attention to detail and accuracy.
- Good organizational and time‑management skills.
- Ability to work with spreadsheets, databases, documents, and email.
- Ability to follow detailed instructions and established procedures.
