We are seeking a highly organized, proactive, and detail-oriented Virtual Assistant to join our remote team. In this role, you will provide critical administrative support to the Executive Assistant, helping to ensure the smooth and efficient operation of daily business activities.
The successful candidate will be responsible for managing and prioritizing tasks, coordinating administrative projects, maintaining accurate records, and completing assignments with a high level of efficiency and professionalism. This position requires excellent time management skills, strong attention to detail, and the ability to work independently while meeting deadlines.
The ideal candidate will possess exceptional written and verbal English communication skills, a strong work ethic, and proven administrative experience. You should be comfortable handling multiple responsibilities simultaneously and be capable of delivering high-quality work with minimal supervision in a fast-paced remote environment.
POSITION RESPONSIBILITIESKey Responsibilities:
- Perform a variety of administrative duties
- Accurately and efficiently capture and input various forms of information into the company database
- Keep all filing systems up to date
- Provide support in a team-based environment
- Communicate effectively with stakeholders
- Respond to emails and phone calls
- Schedule meetings
- Book travel and accommodations
- Manage a contact list
- Prepare customer spreadsheets and keep online records
- Create presentations as assigned
- Meet team productivity and accuracy standards
- Ensure confidentiality while handling sensitive information
- Follow policies, procedures, and assigned workflows set by department leadership
- Perform other administrative tasks and duties as needed
WONDER IF YOU ARE A GOOD FIT FOR THIS POSITION?
- Proven experience as a Virtual Assistant or Office Admin Assistant (within a BPO preferred)
- Knowledge of office management systems and procedures
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- Have a wired, high-speed internet connection (Download speed of 20
Mbps+) - Ability to type swiftly and accurately (20+ words a minute)
This job operates in a professional office environment. While performing the duties of this job, the employee will be largely sedentary and will be required to sit/stand for long periods while using a computer and telephone headset. The employee will be regularly required to operate a computer and other office equipment, including a phone, copier, and printer. The employee may occasionally be required to move about the office to accomplish tasks;
reach in any direction; raise or lower objects, move objects from place to place, hold onto objects, and move or exert force up to forty (40) pounds.
