THE ROLE
Our Client is seeking an Executive Assistant to provide high-level administrative support to the Executive Director, with a particular emphasis on legislative and regulatory activities. This contract position, running through mid-December 2027, requires a proactive individual capable of managing complex calendars, handling correspondence, and preparing documents. The role involves taking detailed notes during legislative sessions, supporting cabinet boards and commissions, and drafting official communications.
The ideal candidate will possess strong organizational skills, attention to detail, and a working knowledge of the legislative process, along with experience in government, law, lobbying, or healthcare environments. The position is primarily on-site Monday through Thursday (minimum three days on-site, including Monday and Wednesday), with remote work on Fridays, and requires excellent customer service and phone etiquette in a collaborative, open-floor office setting.
YOU'LL DO
- Manage calendar and scheduling for the Executive Director, anticipating needs and managing competing priorities
- Monitor and manage email correspondence to ensure timely responses and follow-up
- Draft, edit, and format documents and correspondence, maintaining a high standard of professionalism
- Take detailed meeting notes during legislative and regulatory sessions, ensuring accuracy and completeness
- Apply working knowledge of the legislative process to support daily activities and keep the Executive Director prepared
- Draft and edit official letters and communications for the Executive Director
- Field questions and review documents related to cabinet boards and commissions (deep subject-matter expertise not required)
- Handle incoming calls (approximately 2–3 per day) with professional phone etiquette
- Support a collaborative, open-floor office environment and contribute to a positive team culture
- Provide general customer service support within the office
- Strong attention to detail and ability to anticipate needs
- Excellent follow-up and organizational skills, with the ability to manage multiple priorities
- Working knowledge of the legislative process
- Proficiency in document editing, drafting, and formatting
- Strong customer service orientation and professional phone etiquette
- Ability to work effectively in a collaborative, open-floor office environment
- Prior experience in one or more of the following: government office, law firm, lobbying firm, or general healthcare setting
