Medical Clerkship Academic/Clinical Program Associate

The University of Iowa Health Care Department of Radiology is seeking a Program Associate to serve as a coordinator of the Department of Radiology's Educational Programs including the Core diagnostic radiology as well as the medical student clerkship. As a member of the Radiology Education Program, the Program Associate coordinates fellowship and residency activities and plays an important role within the Graduate Medical Education (GME) system.

This position works closely with residents, fellows, Program Directors, the central GME Office, and external partners to support effective program operations, communication, and compliance. This position is eligible for a combination of remote work and in-person (hybrid) work within Iowa.

Position Responsibilities

Fiscal and Administrative

Provide support to the Diagnostic Radiology

Perform and coordinate administrative and fiscal duties related to all aspects of the above programs, including compliance with UI Health Care and national guidelines (e.g. A , ACGME). Possess knowledge of the Institutional and Program Requirements for the Accreditation Council for Graduate Medical Education, American Board Radiology, and program specific requirements, such as NRMP and ACGME recruitment procedures and requirements. Manage annual timeline of critical events calendar for the above Programs.

Attend monthly program coordinator meetings. Prepare letters of recommendation and reference requests for alumni for the Program Director's review and signature. Process training verifications for program graduates. Maintain leave records and process resident absence and call trade requests. Assist with resident interviews. Maintain general files. Prepare requisitions as required. Maintain records of all expenditures from above Program accounts and assign appropriate MFKs.

Order appropriate educational materials. Ensure adherence to departmental and University travel guidelines. Track and process approved travel requests. Track resident presentations. Track BLS/ACLS proof of training. Follow general policies and procedures in accordance with the regulations of the University of Iowa, Carver College of Medicine and the Department of Radiology.

Provide support to the Medical Student Clerkship Directors

Perform and coordinate administrative and fiscal duties related to all aspects of the Medical Student Clerkship programs. Serve as liaison between the Carver College of Medicine Registrar's Office and the Department for issues pertaining to medical students. Manage (pre and post) rotation duties for multiple classes rotating every two to four weeks. Prepare student materials and instructor materials. Determine student clinic rotation schedule, schedule faculty lecturers and room assignments.

Send multiple daily evaluation emails to students and other communications as needed. Manage student time off requests with director input for special exceptions and ensure make-up assignments are completed. Prepare annual reporting to the Clerkship Directors regarding evaluation results. Maintain past clerkship files, including schedules and grades. Update grades in ICON and MAUI in a timely manner, communicate with students.

Attend orientation and proctor the final exam for each two-week rotation class. Manage exam scheduling with third party software, special testing accommodations and make up examinations. Maintain Medical Student Coordinator manual; manage/update ICON course content and Qualtrics evaluations. Facilitate the faculty evaluation process of the advanced clerkship students.

Training Curriculum

Provide Educational Support to Faculty, Fellow and Residency Programs

Coordinate Continuing Medical Education programs in department:
Ensure learning objectives and financial disclosures are submitted in advance, and attendance is submitted in a timely manner. Manage daily attendance and department badge scanners. Ensure faculty have current COI on file and facilitate approval for any faculty with disclosures prior to their presentation. Manage semi-annual evaluation of programs (conferences). Manage bi-annual program applications to ensure adherence to new accreditation requirements.

Attend meetings as needed with RSS Office. Coordinate Lectureships. Liaison with program coordinators in department, UI Health Care, and outside affiliates.

Schedule Monday - Friday, 7:30am - 3:30pm;
Hybrid Work Schedule after initial training period

Pay Grade 3A Pay Structure
