We are seeking a motivated and detail-oriented Student Administrative Assistant to join the Procurement and Payment Systems team. This position is ideal for a student looking to grow their supply chain expertise and for someone who loves to research.
The Student Administrative Assistant provides administrative and clerical support to Procurement Senior Buyers by assisting with RFx activities, communications, recordkeeping, and general office tasks. This role supports the timely and accurate execution of procurement processes and offers students hands-on exposure to public procurement operations.
This position is “remote-friendly”, with the expectation of on-campus presence depending on operational needs. This is typically referred to as “Hybrid”, with the flexibility of regular remote work mixed with in-office work as mutually agreed upon with the supervisor.
Job Duties- Assist Procurement Senior Buyers with preparing RFx documents (RFPs, RFQs, RFIs), including formatting and organizing supporting materials
- Follow up on communications with internal stakeholders and external vendors as directed
- Assist with scheduling meetings, coordinating calendars, and sending meeting invitations
- Track RFx timelines and milestones and follow up to ensure tasks are completed on schedule
- Help organize RFx responses, evaluation materials, and related documentation
- Support daily administrative and clerical tasks as needed
- Update and maintain procurement records and documentation in the KFS system and other tracking tools
- Assist with basic data analysis and reporting tasks when needed
- Conduct required research at the request of senior buyers and report findings back to the team
- Current MSU student in good academic standing
- Attention to detail and ability to follow instructions accurately
- Reliable and punctual
- Excellent communication skills and a professional demeanor
- Strong organizational and time management skills
- Proficiency with Microsoft Office tools (Outlook, Word, Excel); ability to learn new systems
- Supply chain major
- GPA of 3.5 or higher
- Previous experience using KFS (Kuali Financial Systems)
