Hours:
Full-time, 40 hours/week
Compensation: $55,000/year

The Pablove Foundation is dedicated to improving the lives of children living with cancer through the arts and advancing underfunded, cutting-edge pediatric cancer research.
Through our Pablove Shutterbugs program, we teach healing arts photography classes nationwide (both virtually and in person), giving kids a creative outlet and a voice. Our research program funds innovative pediatric cancer studies, helping drive discoveries that can save lives.

ROLE SUMMARYThe Program & Operations Coordinator is a highly collaborative, behind-the-scenes role that helps keep Pablove organized, efficient, and moving forward.
This position is ideal for someone who enjoys variety, stays organized, communicates well with people, and is excited to support many aspects of a growing nonprofit organization.
Because we are a small team, this role requires someone who is flexible, resourceful, and happy to jump in wherever needed!
This role is heavily administrative and operational at its core, but also offers meaningful opportunities to engage directly with families, volunteers, donors, and community partners. We are looking for someone who enjoys both keeping things running smoothly behind the scenes and serving as a warm, professional representative of the organization. The ideal candidate is proactive, detail-oriented, adaptable, tech-comfortable, and energized by mission-driven work.
KEY RESPONSIBILITIESAdministrative & Operational Support
- Support day-to-day organizational operations and administrative systems
- Maintain organizational supplies, program inventory, and storage
- Assist with data entry, reporting, and database management (Salesforce and related platforms)
- Handle shipping and occasional errands/logistical tasks
- Help improve systems and identify operational efficiencies
Program Support
- Support coordination of virtual and in-person Shutterbugs programs
- Assist with volunteer and parent communication and program logistics
- Prepare and organize program materials, supplies, and equipment
- Provide on-site support at classes, hospitals, and community events
Development & Fundraising Support
- Assist with donor acknowledgements, communications, and stewardship
- Support fundraising campaigns, sponsorship outreach, and event preparation
- Help organize donor records, reports, and follow-up communications
- Assist with auction, merchandise, and fulfillment logistics
Marketing & Communications Support
- Collaborate with the Marketing Director to support campaigns + outreach
- Assist with preparing presentations, sponsorship materials, event collateral, and promotional assets
- Provide administrative and logistical support for marketing initiatives, fundraising campaigns, and events
- Help coordinate content collection, scheduling, and real-time event support as needed
- Support cross-department collaboration to help ensure projects, communications, and campaigns stay organized and on track
Events & Community Representation
- Represent Pablove professionally at select events, health fairs, hospitals, and community activations
- Assist with event setup, registration, logistics, and guest support
- Support volunteers and help create a welcoming, organized experience for families and supporters
- Highly organized and dependable
- Friendly, professional, and skilled at interacting with many different people
- Willing to roll up your sleeves and help wherever needed
- Calm under pressure and able to juggle multiple priorities
- A strong communicator with attention to detail
- Comfortable learning new technology and systems
- Excited to be part of a small, collaborative team environment
- 2+ years of administrative, operations, nonprofit, or office experience preferred
