McMillan has an exciting opportunity as a Legal Administrative Assistant in our Montreal office in Business Law and Tax group. As a member of the team, you will play a key role in managing legal and administrative aspects to a team of lawyers and/or law clerks/paralegals (“LPs”).

Please note that this role offers a hybrid workweek. Each week will combine both working at home for a few days and working in the Ottawa office for the balance. Your hybrid schedule will start once you join McMillan!

What You'll Do
  • You will be the go-to person for your team, providing guidance and support to keep them organized.
  • You will support the day-to-day administrative requirements of a team of Legal Professionals, including managing calendars, coordinating meetings, organizing travel and conference attendance, requesting conflict searches and opening new client matters.
  • You will support document drafting and review by preparing redlines/markups, inputting revisions and assisting with basic document drafting.
  • You will manage documents in the document management system (DMS), including saving and organizing documents in accordance with required naming conventions.
  • You will prepare and manage expense reports,
  • You will assist with docket entries, matter management processes, and provide support with printing and other administrative tasks as needed.
  • You will prepare signature pages, execution copies and Docu Sign packages, and compile fully executed copies of agreements.
  • You will provide transaction support, including managing and updating closing agendas, assisting with closings and preparing closing books upon completion of transactions.
  • You will assist with the management of tax registrations and authorizations with the Canada Revenue Agency and Revenu Québec.
  • You will leverage technology and support efficient, effective and high-quality client service.
What You Bring
  • You have strong administrative, organizational and interpersonal skills.
  • You have a keen interest in Business Law and a minimum of 5 years' experience working closely with LPs to prepare legal documents and agreements, including for closings and transactions.
  • You are detail-oriented, able to meet deadlines effectively, work well in a team setting, and provide an exceptional level of client service.
  • You embrace evolving technology and have strong skills in Microsoft Word, Excel and PowerPoint.
  • You have prior experience with Desksite/iManage (DMS), Int App and 3E, or similar document management, file opening and accounting software.
