$34/hr ($70,720) plus Benefits (Health/Vision/Dental Insurance & IRA Retirement fund contribution)
Full Time: M-F, 9am - 5pm
RESIDENTIAL OFFICE: Our thriving tile installation business has been around since 1999. Our wonderful Office Manager is retiring and we are seeking a long-term full-time Office Manager. Current Office Manager and owners will help with hands-on training. Our office has a separate entrance and parking, and is attached to our N Bethesda residence. This job is for someone who wants a casual and residential office setting.
This job involves lots of time alone in office or with 1-2 others.
Answer phones and emails
Track jobs, purchase orders, change orders, clients requests, and other correspondence
Write emails, type estimates, send invoices through Jobtread software
Read through bidding info and print relevant info and scaled plans for bidding projects
Assist with estimating/bidding, calculating order quantities for jobs
Get price quotes from vendors for materials
GENERAL EXPECTATIONS:Manage and optimize functionality of office
Communicate with team to ensure you are happy, inspired, and feel supported at work
Assist owners with all business (and occasionally personal) organization and scheduling
Optional - Expand on creative projects that resonate with you - (i.e. new marketing ideas, updating website, social media, etc.)
Share your input to develop new and maintain current office standards
Maintain confidentiality of company info and client info (some high-profile)
Receive packages and deliveries during work hours
Represent company as true professional
Maximize productivity of office
REQUIREMENTS:Stellar work attendance record. You are the lifeline of our office.
Minimum 3 consecutive years at one company or for one employer/individual (We want someone who sticks around!)
Proficiency in QBO (or strong computer background and ability to learn quickly)
Prior office experience
Attention to detail & strong ability to check for errors
Construction industry experience preferred (for estimating jobs)
Strong basic math skills to calculate or check square footages
Excellent written and verbal communication skills
Responsibility and capability of managing office, work flow, people
Ability to diffuse potentially difficult situations when needed
Eagerness to follow instruction
Openness to receive assistance when needed
Respectfulness for others including colleagues, clients, etc...
Patience and composure when multitasking
Honesty and Integrity
Calm and stable demeanor
Eagerness to learn quickly, take initiative, and work under minimal supervision
Clean record to pass background check
