Position SummaryThe Administrative Assistant in the Clinical Department is responsible for maintaining, organizing, and processing records in accordance with company policies and regulatory requirements. This role provides clerical support, data entry, and administrative assistance to ensure the accuracy, confidentiality, and accessibility of records.
EssentialJob Duties and Responsibilities
- Maintain and organize physical and digital records, ensuring proper scanning, filing and retrieval.
- Process incoming and outgoing documents, ensuring they are properly logged and stored.
- Enter and update records in the system with accuracy and attention to detail.
- Assist with requests for records from internal departments and external entities, ensuring compliance with company policies and legal requirements.
- Ensure compliance with data privacy and retention policies.
- Provide general administrative support, such as answering calls, responding to emails, and coordinating meetings.
- Assist with special projects and audits related to client records.
- Perform other duties as assigned by the department manager.
Education and Experience:
- High school diploma or equivalent; associate’s degree preferred.
- Prior administrative or records management experience is a plus.
Competencies:
- Strong attention to detail and organizational skills.
- Proficiency in Microsoft Office Suite and records management software.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Strong communication and interpersonal skills.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 20 pounds occasionally.
- Primarily remote work, but some in-office presence may be required.
- Work is performed in an office setting with a moderate noise level when in person.
- Must have a reliable internet connection and a dedicated workspace for remote work.
