Rewired Talent Management is seeking an exceptionally organized, proactive, and resourceful Executive Assistant to support our executive team. This role requires impeccable attention to detail, strong communication skills, and the ability to anticipate needs in a fast-paced, entrepreneurial environment.
The ideal candidate thrives on organization, problem-solving, and efficiency, ensuring that our executives’ time and priorities are optimized at all times. Given the nature of our business, this individual should also be highly comfortable with social media, content creation tools, emerging technology, and AI, and be able to incorporate these tools into their day-to-day workflow.
Key Responsibilities- Manage complex scheduling, including calendar management, meeting coordination, and travel logistics for Rewired executive management.
- Prioritize and organize emails, calls, and correspondence to ensure timely and thoughtful responses.
- Prepare meeting materials, agendas, and follow-up notes; track action items through completion.
- Support the planning and execution of company events, offsites, and key initiatives.
- Maintain highly organized digital and physical filing systems for quick access to critical documents.
- Serve as a primary point of contact and gatekeeper, handling inquiries with discretion and professionalism.
- Anticipate executive needs and proactively resolve challenges before they arise.
- Assist with expense reports, invoices, and administrative documentation.
- Coordinate communication across departments and with external partners to keep projects moving efficiently.
- Provide support with social media management, content organization, posting, and other digital initiatives as needed.
- Assist with the creation and editing of social media content using relevant photo, video, and content-editing software.
- Leverage AI tools to improve productivity, organization, research, communication, content development, and other daily responsibilities.
- Proactively identify opportunities to use AI, automation, and emerging technology to improve internal workflows and executive efficiency.
- 3–5 years of experience as an Executive Assistant, preferably supporting senior executives or founders.
- Exceptional organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills with a polished, professional demeanor.
- High level of discretion and confidentiality when handling sensitive information.
- Strong proficiency with Google Workspace (Docs, Sheets, Calendar, Drive) and productivity tools such as Slack, Asana, or Notion.
- Strong understanding of social media platforms and hands‑on experience with social media management.
- Experience using social media editing and content‑creation software for photo, video, and short‑form content.
- Strong working knowledge of AI tools and demonstrated ability to incorporate AI into daily responsibilities, organization, research, communication, and workflow management.
- Comfort learning and adopting new AI platforms, automation tools, and emerging technologies to increase efficiency.
- Proven ability to work independently in a fast‑moving, high‑expectation environment.
- Ability to quickly learn new systems, identify more efficient ways of working, and take initiative without requiring constant direction.
- Experience in entertainment, media, creator/influencer, or talent management environments.
- Experience supporting social media accounts, digital content, or creator‑focused initiatives.
- Familiarity with popular content‑editing platforms and tools used for short‑form social media.
- Familiarity with startup or small‑business operations where flexibility, resourcefulness, and initiative are essential.
- Preferably based in Nashville with flexibility for hybrid or remote work.
