Job Description:

Join Job Duck as an Executive Administrative Assistant and become a key contributor to the smooth operation of a busy legal practice. In this role, you will provide high level administrative support, manage schedules, coordinate communications, and help maintain efficient workflows that keep daily operations running seamlessly. You will also play an important part in supporting client intake activities, tracking prospective clients, and ensuring timely follow up throughout the client journey.

This opportunity is ideal for someone who is organized, proactive, and confident communicating with clients while balancing multiple priorities. Your ability to anticipate needs, maintain structure, and support both administrative and client related processes will have a direct impact on productivity, client satisfaction, and overall business success.

Monthly Compensation: 1,060 to 1,150 USD

Responsibilities include, but are not limited to:
  • Respond to inquiries professionally and ensure timely communication
  • Prepare reports, summaries, and administrative documentation as needed
  • Maintain confidentiality when handling sensitive client and company information
  • Identify opportunities to improve administrative and client management processes
  • Manage executive calendars, appointments, and scheduling priorities
  • Organize and maintain administrative records, documents, and correspondence
  • Support lead follow up efforts to help maximize consultation attendance and conversion opportunities
  • Coordinate meetings, consultations, and follow up communications
  • Serve as a primary point of contact for clients and prospective clients
  • Prioritize multiple assignments while maintaining a high level of accuracy and attention to detail
  • Provide general executive and operational support to ensure smooth daily business operations
  • Monitor and track new leads through the intake and consultation process
  • Maintain accurate client and prospect information within CRM systems
  • Assist with client onboarding and document collection processes
  • Coordinate with internal teams to ensure tasks and deadlines are completed efficiently
Requirements:

    8:00 AM to 5:00 PM Required Experience
  • Previous administrative experience in a Law Firm mandatory
  • Calendar Management mandatory
  • Experience supporting client intake, lead follow up, or sales related administrative processes preferred
  • Ability to track prospective clients and maintain organized follow up systems
  • Experience handling client inquiries and coordinating consultations
  • Comfortable communicating with potential clients in a professional and persuasive manner
  • Experience working with CRM systems preferred
  • Familiarity with sales pipelines, lead tracking, and client relationship management preferred
