Aboutthe Role
The Asbestos Intake Manager oversees the day-to-day operations of the firm’s Intake Department. This role is responsible for managing intake workflow, coordinating case assignments, monitoring case progress, facilitating communication, and ensuring that established procedures are consistently followed. The Intake Manager will also oversee department tracking and reporting, support team productivity, and identify opportunities to improve intake processes and operational efficiency.
This role is open to candidates who can work on site in our Manhattan office or candidates seeking a fully remote position anywhere in the United States. The Intake Manager works closely with department leadership, attorneys, referral sources, and internal teams to ensure potential client inquiries and cases are handled efficiently and accurately. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing both people and competing priorities in a fast-paced legal environment.
YouWill:
- Monitor the department intake email inbox and ensure incoming referrals are acknowledged and assigned promptly
- Ensure mesothelioma referrals are immediately communicated to the appropriate team members and that an action plan is established
- Oversee daily intake workflow and ensure cases are distributed appropriately based on workload and department priorities
- Assign intake calls to the appropriate team members
- Assign medical record-related tasks and coordinate with the Medical Records team as appropriate
- Coordinate preparation for weekly intake meetings with the Intake Paralegal
- Review meeting agendas, pending cases, and supporting documentation prior to weekly intake meetings
- Lead weekly intake meetings in conjunction with department leadership and ensure action items are assigned and completed
- Meet regularly with Intake team members to review workload, pending intakes, and outstanding medical record requests
- Monitor department productivity and assist with balancing workloads
- Provide guidance and support to Intake team members regarding processes, priorities, and department procedures
- Ensure all case activity is accurately documented in Smart Advocate (SA)
- Monitor compliance with department SOPs and established workflows
- Maintain oversight of intake-related tracking systems and department reporting
- Identify process improvements and recommend operational efficiencies
- Work closely with attorneys, referral sources, and internal departments to facilitate efficient case intake and workflow
- Communicate operational priorities, workflow updates, and outstanding issues to department leadership
- Minimum 3 years of experience in legal intake, personal injury, mass tort, or a related legal environment
- Prior experience managing, supervising, or coordinating a legal intake team or department
- Strong understanding of intake workflows, case management, and referral processes
- Strong verbal and written communication skills with the ability to communicate effectively with attorneys, staff, referral sources, and potential clients
- Excellent organizational and time-management skills with the ability to manage multiple priorities
