Executive Assistant to CEO - Confidential | High-Growth Beverage Company NYC / Tri-State Area | Primarily Remote

We are partnering with an exciting, high-growth consumer/beverage brand to hire an exceptional Executive Assistant to the CEO. This is a unique opportunity to work closely with a dynamic founder/CEO and serve as a trusted partner in helping manage her time, priorities, and effectiveness as the company continues to grow.

While the position is primarily remote, candidates must be based in the NYC Tri-State area and able to get into Manhattan as needed for meetings, work sessions, and other in-person commitments. There may also be occasional domestic travel for larger company meetings and events.

This role offers the opportunity to operate beyond traditional executive assistance. The right person will be comfortable owning complex executive support while also taking on project management, communications, meeting follow-through, and Chief of Staff-adjacent responsibilities.

What You'll Do
  • Own and proactively manage the CEO's complex calendar across multiple time zones, ensuring her time is aligned with the company's highest priorities.
  • Anticipate scheduling conflicts, preparation needs, travel requirements, and follow-ups before they become issues.
  • Coordinate domestic and international business travel, including flights, hotels, ground transportation, detailed itineraries, and last-minute changes.
  • Prepare the CEO for important meetings by ensuring she has the appropriate agendas, context, information, and materials.
  • Attend select meetings, capture key takeaways and action items, and ensure appropriate follow-through.
  • Serve as a thoughtful gatekeeper and point of contact for internal and external stakeholders.
  • Help translate executive meetings and priorities into clear next steps, tracking deadlines, deliverables, and commitments.
  • Support executive leadership meetings, board meetings, company-wide events, and other important company initiatives.
  • Take ownership of special projects and operational initiatives, often with limited direction.
  • Assist with corporate and executive communications and communicate on behalf of the CEO when appropriate.
  • Act as an extension of the CEO when needed, representing her priorities and the company with sound judgment, professionalism, and discretion.
  • Handle sensitive and confidential information with the highest degree of discretion.
Who We're Looking For

We're looking for someone who is exceptionally proactive, resourceful, organized, and self-directed. This person notices gaps and addresses them without waiting to be asked, thinks several steps ahead, and is comfortable working with a fast-moving executive with high expectations.

The ideal candidate is polished and professional without being overly corporate and can thrive in an entrepreneurial, casual, high-growth culture. They are resilient, adaptable, and comfortable receiving direct feedback and navigating changing priorities.

You should be someone who can move seamlessly between managing a complicated calendar, troubleshooting travel, preparing an executive for a critical meeting, and taking ownership of a project that doesn't come with a detailed playbook.

Qualifications
  • 3–5+ years of experience supporting a CEO, founder, C-suite executive, or senior leader in a fast-paced environment.
  • Experience with in a startup, growth-stage, consumer, beauty, CPG, lifestyle, or similarly fast-moving company is strongly preferred.
  • Experience supporting an executive in a remote or geographically distributed organization is a plus.
  • Exceptional calendar management and prioritization skills, including experience coordinating across multiple time zones.
  • Strong written and verbal communication skills.
