Position Overview:
The Enrollment Coordinator plays a crucial role in supporting the Account Managers and Producers by managing member-level administration tasks. This includes processing enrollments, terminations, and updates for employee and dependent insurance benefits, as well as maintaining and administering benefit platforms. This position requires direct communication with insurance carriers, group contacts, and employees to ensure accurate and efficient service delivery.

Work Arrangement: This is a full-time remote position that supports our office located in Poway, CA.

Professional Responsibilities

  • Process enrollments, changes, and terminations of employee and dependent insurance benefits, ensuring compliance with plan guidelines.
  • Maintain, update, build out, and administer benefit platforms in preparing for client Open Enrollment. Ensure platforms are up to date and functional for both client use.
  • Prepare necessary materials, including benefit guides, for client Open Enrollment periods.
  • Communicate directly with insurance carriers, group contacts, and employees, via email and telephone, regarding group benefits, enrollment confirmations, payroll deductions, and other service-related items.
  • Revise employee memos and provide payroll deductions to clients.
  • Support participants by assisting with claims processing and resolving any issues that may rise.
  • Assist Account Managers and Account Executives with other projects and tasks, as requested.
  • Oversee the reconciliation of insurance bills and audits from reviewing bills for accuracy, identifying discrepancies, and working with carriers and clients to resolve any billing or audit-related issues.
  • Conduct monthly post-open enrollment audits.
Required

Qualifications and Requirements:

  • 2 or more years of experience in employee benefits administration, client services, administrative support, or a related position.
  • High School Diploma/GED
  • California Life and Health Insurance License
  • Possess a basic understanding of employee benefits, including knowledge of various benefit types, compliance with relevant regulations, and awareness of emerging trends and best practices.
  • Provide empathetic and supportive assistance to clients and employees by being responsive to client needs and proactively seeking opportunities to enhance the client experience.
  • Strong organizational skills, with the ability to prioritize tasks and manage daily responsibilities effectively.
  • Exceptional problem-solving skills, combined with a persistent approach to achieving successful resolutions.
  • Excellent communication skills, both written and verbal, to convey information clearly and transparently.
  • Ability to collaborate effectively with in a team environment, sharing insights and contributing to collective success.
  • Familiarity and proficiency in using relevant software applications, including Customer Relationship Management (CRM) systems, Microsoft Office Suite, and other tools used for client management and communication.
  • Commitment to staying updated on industry trends, regulations, and best practices.
  • Adhere to ethical standards and maintain confidentiality when handling sensitive employee and client information.
