Primary Duties & Responsibilities
- Proposal/Grant Management
- Provide oversight and day‑to‑day management of research administration.
- Perform pre‑award duties for complex proposals (program projects, ARPA‑H, DOD, DOE).
- Assist faculty in proposal preparation and submission.
- Manage budgeting, analysis, and justifications; gather protocol information.
- Act as liaison between Chair, Faculty, and Department Administrators.
- Stay current on federal and university regulations.
- Coordinate submissions, work with PI to prepare budgets, and obtain pricing quotes.
- Compile and ensure regulatory compliance of data collected.
- Prepare and review all agency forms; enter grant budgeting documents online.
- Obtain PI and institutional signatures for submissions.
- Initiate subaward setup through SUBS; coordinate with Post‑Award & OSRS.
- Implement and maintain efficient workflow; train staff.
- Award Management
- Review complex notices of award; advise SPA and PI on terms.
- Track and maintain online database of grants.
- Monitor and assist PIs with annual agency reports.
- Collaborate with Post‑Award on revised budgets.
- Coordinate transfer of PI grants and contracts into WashU.
- Research Compliance
- Coordinate support for complex grant information requests (biosketches, trainee data, protocol approvals).
- Research Reporting
- Provide analysis of grant metrics and funding trends.
- Grant Closeout
- Oversee closure of complex sponsored project accounts.
- Submit final progress reports and invention statements.
- Follow up with PIs on delinquent final reports.
- Post‑Award
- Manage budgets, expenditures, and reconciliations.
- Assign payroll to appropriate sources; enter in Workday.
- Confirm salary sourcing for all project personnel.
- Approve purchasing documents; guide staff on grant‑specific expenditures.
- Process subawards and invoices; resolve financial errors.
- Handle correspondence with agencies (inquiries, extensions, budget changes).
- Serve as liaison with SPA; prepare project advances and no‑cost extensions.
- Ensure protocols are linked to proposals/awards.
- Document foreign national participation.
- Maintain database of grant status; prepare monthly reports for PIs and leadership.
- Assist DA in reconciling funds and monitoring spending.
- Research Center Grants
- Manage cores and subcores, program income, and institutional funds.
- Gather and analyze equipment inventories and maintenance costs.
- Design reporting database for billing purposes; forecast expenses.
- Send and monitor invoices for core services; reconcile funds monthly.
- Prepare financial summaries for director meetings and renewals.
- Liaise with Program Director to communicate policies to investigators and staff.
- Track, monitor, and report on performance survey results.
- Coordinate center lectures, forums, workshops, and marketing activities.
- Participate in center meetings and symposiums.
40 hours per week
Position SummaryActs as a key player in the sponsor project life cycle, ensuring that research proposals follow sponsor guidelines and are successfully submitted. Supports faculty, center directors, and staff during the pre‑award stage, manages post‑award and payroll sourcing activities, and may oversee grants for research centers.
Working ConditionsNormal office environment; standing or walking, repetitive wrist and hand movements (PC typing). Office equipment available.
Education and ExperienceRequired Qualifications: Bachelor’s degree or equivalent education/experience.
Preferred Qualifications: Master’s degree.

Experience:
4 years overall; 2 years in grants administration.

SalaryGrade G13 – $65,900.00 – $ annually.
