Grants & Contracts Specialist Responsibilities
  • Oversee and manage all pre-award activities for assigned principal investigators as part of the COM Grants Management Office.
  • Participate with the development and preparation of grant proposals in collaboration with the Principal Investigator (PI).
  • Serve as a resource for team members with proposal development; contribute to training of new staff.
  • Provide expertise in support of all pre-award activities, create budgets, review biographical sketches, resources, letters of support and other required administrative components of grant proposal submission.
  • Provide proposal development tools, aids and direct support to faculty; establish appropriate sub-recipient budgets and documents as needed for grant submissions.
  • Coordinate with other internal staff, locate relevant materials, format and edit proposals, and serve as contact on submission for assigned grants.
  • Coordinate submission of proposals with the Office of Sponsored Programs.
  • Investigate, evaluate, and interpret regulations and guidelines of program funding, ensuring that those using funds understand such policies.
  • Participate in educational onboarding of new PIs and their staff.
  • Take lead in the preparation and submission of Training Grants or other large, complex applications.
  • Obtain documentation when a University contribution is proposed; provide support for large, interdisciplinary program grant proposals.
  • Collaborate with GMO post award staff as needed.
  • Analyze funding solicitations in relation to receipt of University support from extramural sources.
  • Maintain thorough knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, conflict of commitment, foreign involvement/collaboration, biosafety, etc.
  • Demonstrate financial analysis and budgeting ability; draft formal correspondence; research, interpret, and develop written policies and procedures.
  • Utilize enterprise systems such as research administration or financial systems; manage workload and document management dashboards.
  • Contribute to compliance in financial policies and procedures by resolving compliance-related issues and reporting larger issues to management.
  • Collect and analyze data to detect deficient controls, duplicated effort, fraud, or non-compliance with laws, regulations, and management policies.
Minimum Education

Bachelor’s degree in a relevant field or equivalent combination of education and experience.

  • 4 years of relevant grant or contract management experience, including knowledge of pre-award grant management process.
  • Intermediate word processing skills (open, close, create, edit, and save documents).
  • Successful completion of a background check required; selected candidate may be asked to complete a pre-employment physical, including a drug screen.
Desired Qualifications
  • Experience writing administrative components of grants preferred.
  • Experience with research administration proposal tools (Grants.gov) desired.
  • Experience investigating research funding sources.
  • Knowledge of OSU Office of Sponsored Programs policies & procedures.
  • Advanced spreadsheet skills (create spreadsheets with complex formulas).
  • Ability to calculate, analyze, and interpret mathematical and statistical information.
  • Intermediate presentation skills (create presentations).
  • Strategic thinking and ability to see how parts interact with the big picture.
  • Basic ability to read, analyze terms and understand conditions of legal agreements.
  • Effective management of multiple tasks, projects, and priorities, including prioritization to meet deadlines.
  • Ability to identify issues, investigate, and resolve mid-size discrepancies.
  • Strong attention to detail and accuracy.
  • Excellent communication skills for communicating intricate processes to internal and external customers.
  • Ability to positively represent the department internally and externally.
