ROLE DESCRIPTION
We are seeking an experienced Communications Project Manager to own and optimize our workflows, track capacity, and ensure our operations run smoothly. Working closely with our founder and creative team, you will maintain a “bird's-eye view” across our clients and projects, helping us stay focused while seamlessly integrating shifting priorities, new projects, and client requests. YOU WILL:
Maintain clear visibility across all active client projects in Click Up, proactively setting up tasks, timelines, dependencies and flagging risks and shifting prioritiesIntegrate urgent/ad hoc requests from clients into existing work plans, managing tasks and priorities effectivelyTrack capacity across our small team and provide clear recommendations to improve project flow, resource allocation, and overall efficiencyIdentify gaps in our operational workflows and design repeatable processes (meeting follow-ups, proposal intake, internal progress reporting) that keep our team aligned and focusedPrepare agendas and supporting materials before client meetings; document decisions and action items afterDraft routine communications such as meeting follow-ups, project updates, and internal briefs as neededCONTRACT DETAILS:
Hours:
Approximately 10-15 hours/week, with some additional time expected during onboardingLocation:
Remote (ability to attend occasional in-person meetings in the Niagara region is preferred)Rate: $30-$40/hour (or comparable weekly/monthly rate - please provide your pricing in application)Note:
This is a remote contract position without a set schedule, but responsiveness during regular business hours (9–5 EST) is essential. The ideal candidate is available for ad hoc requests most weekdays and proactively sets up systems to ensure smooth operations when unavailable.
QUALIFICATIONS:
Minimum 2–3 years of experience in project or operations management within an agency, non-profit, or professional services environmentStrong organizational and project management skills with demonstrated experience managing multiple clients and projects simultaneouslyStrong judgment and critical thinking skills, with the ability to synthesize meeting notes and unstructured information into clear action items, and to match tasks to the right people, timelines, and skill setsExcellent written and verbal communication skillsComfortable working independently in a remote environment with minimal oversightMust have knowledge of project management tools (ideally Click Up), with experience using these tools to manage complex client workloadsASSETS:
Understanding of Indigenous community dynamics, governance structures, and cultural protocols is a significant assetExperience/skills in communications strategy or copywriting (while this is not a production role, the ability to produce a solid first draft for social media posts, short email blasts, blog posts, or internal creative briefs is a significant asset)Experience using PowerPoint to create decks for client reporting/project updatesFrench language proficiencyHOW TO APPLY
