ROLE DESCRIPTION

We are seeking an experienced Communications Project Manager to own and optimize our workflows, track capacity, and ensure our operations run smoothly. Working closely with our founder and creative team, you will maintain a “bird's-eye view” across our clients and projects, helping us stay focused while seamlessly integrating shifting priorities, new projects, and client requests. If you are an organized, proactive professional who loves keeping multiple projects on track and anticipates problems before they happen, this could be the perfect fit for you.

YOU WILL:

  • Maintain clear visibility across all active client projects in Click Up, proactively setting up tasks, timelines, dependencies and flagging risks and shifting priorities
  • Integrate urgent/ad hoc requests from clients into existing work plans, managing tasks and priorities effectively
  • Track capacity across our small team and provide clear recommendations to improve project flow, resource allocation, and overall efficiency
  • Identify gaps in our operational workflows and design repeatable processes (meeting follow-ups, proposal intake, internal progress reporting) that keep our team aligned and focused
  • Prepare agendas and supporting materials before client meetings; document decisions and action items after
  • Draft routine communications such as meeting follow-ups, project updates, and internal briefs as needed
  • CONTRACT DETAILS:

  • Hours:

    Approximately 10-15 hours/week, with some additional time expected during onboarding
  • Location:

    Remote (ability to attend occasional in-person meetings in the Niagara region is preferred)
  • Rate: $30-$40/hour (or comparable weekly/monthly rate - please provide your pricing in application)
  • Note:

    This is a remote contract position without a set schedule, but responsiveness during regular business hours (9–5 EST) is essential. The ideal candidate is available for ad hoc requests most weekdays and proactively sets up systems to ensure smooth operations when unavailable.

    QUALIFICATIONS:

  • Minimum 2–3 years of experience in project or operations management within an agency, non-profit, or professional services environment
  • Strong organizational and project management skills with demonstrated experience managing multiple clients and projects simultaneously
  • Strong judgment and critical thinking skills, with the ability to synthesize meeting notes and unstructured information into clear action items, and to match tasks to the right people, timelines, and skill sets
  • Excellent written and verbal communication skills
  • Comfortable working independently in a remote environment with minimal oversight
  • Must have knowledge of project management tools (ideally Click Up), with experience using these tools to manage complex client workloads
  • ASSETS:

  • Understanding of Indigenous community dynamics, governance structures, and cultural protocols is a significant asset
  • Experience/skills in communications strategy or copywriting (while this is not a production role, the ability to produce a solid first draft for social media posts, short email blasts, blog posts, or internal creative briefs is a significant asset)
  • Experience using PowerPoint to create decks for client reporting/project updates
  • French language proficiency
