We are seeking a strategic, operations-minded Chief of Staff to work directly with the CEO. This pivotal role blends executive support, project management, client relations, and business development. You ll be the CEO s right-hand—managing internal operations, streamlining communication, ensuring strategic initiatives are implemented, and representing the company in client-facing settings. This is a part-time role (

- Executive Support:
Manage the CEO s calendar, schedule meetings, and track deadlines across departments. - Documentation:
Create and maintain internal documentation including SOPs, meeting agendas, and status updates. - Project Monitoring:
Monitor project pipelines ensuring timelines are met from Discovery to Final Interview and Post-Placement touchpoints. - Internal Communication & Alignment:
Provide leadership in internal communication, task delegation, and follow-up on operational goals. - Client Management & Onboarding:
Participate in Discovery Calls to understand client needs and translate them into actionable hiring workflows; guide clients through onboarding (Trello setup to job description approval and final interviews); ensure clear expectations, timelines, and deliverables; maintain high-touch communication throughout sourcing and onboarding. - Talent Acquisition Oversight:
Coordinate with recruitment to align hiring tasks with client timelines; oversee the full candidate pipeline (video assessments, interviews, final interview scheduling, and candidate profile submissions); review and improve hiring workflows based on client feedback and internal metrics. - Internal Team Coordination:
Act as a liaison between CEO, recruitment, HR, and marketing; track performance metrics and ensure SOP adherence across hiring stages; contribute to internal team feedback and process improvements. - Sales Support & Client Expansion:
Support outreach to warm leads and dormant accounts through CRM (Go High Level ); monitor sales pipeline, update lead statuses, and follow up on discovery or final interviews; assist with gathering testimonials and referrals post-placement.
- 3+ years of experience in Chief of Staff, Executive Assistant, Operations, Client Services, or Program Management roles.
- Proven ability to manage cross-functional workflows in a fast-paced, startup environment.
- Excellent English communication—verbal and written.
- Experience with CRMs (Go High Level ) and Google Workspace required.
- Demonstrated leadership and critical thinking skills.
- Comfortable working U.S. business hours (10 AM to 2 PM EST, Monday to Friday).
- Hourly Rate: $15–$18 USD (based on experience)
- Performance Bonus: $50 per closed client sourced via your pipeline
