Position Summary

We are seeking a detail‑oriented Purchasing Specialist to support purchasing and inventory management functions across multiple locations. This role plays a key support role in purchase order processing, inventory forecasting, vendor coordination, inventory tracking, and reporting. The ideal candidate is highly organized, detail‑focused, and able to work collaboratively to support inventory accuracy and operational efficiency.

This is an onsite position. Candidates must be able to work from the office daily. Relocation assistance and remote work are not available for this role.

Essential Duties and Responsibilities
  • Support end‑to‑end purchasing activities, assisting with order processing from a booked/purchase order (PO) status through production and final delivery.
  • Review, approve, and submit construction contracts & intents.
  • Submit contract billing, lien waivers, and contract closeout documentation.
  • Serve as a liaison between internal teams and vendors to confirm pricing, delivery schedules, and receipt of inventory.
  • Collect and maintain compliance documentation, including OSHA certifications, Safety Plans, ANSI documentation, insurance certificates, and financial/company data.
  • Generate and distribute open PO, work in process, and other inventory reports for review and reconciliation.
  • Assist with coordination of equipment transfers between warehouse locations when needed.
  • Prepare backlog data and reporting materials for weekly review meetings.
  • Work collaboratively with purchasing, accounting, and operations teams to support inventory accuracy and purchasing efficiency.
  • Coordinate with vendors for all purchasing needs for sales orders, negotiate better pricing and delivery schedules, and confirm receipt of inventory.
  • Assist Purchasing & Inventory Lead with cycle counts across all locations, reconcile discrepancies between physical and system counts, investigate variances, obtain approval for adjustments, post inventory data, and close related accounting modules for the month.

Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Experience with purchasing, inventory control, or supply chain management preferred.
  • Familiarity with inventory management ERP systems; ability to learn new systems quickly.
  • Proficient in Microsoft Office, including Excel and Outlook.
  • General understanding of inventory management principles such as cycle counting, variance tracking, and basic reporting.
  • Basic analytical skills to assist with inventory forecasting, stock level monitoring, and reconciliation activities.
  • Ability to read and interpret purchasing and inventory reports with guidance.
  • Strong organizational skills with the ability to multitask and prioritize in a fast‑paced environment.
  • Effective written and verbal communication skills; ability to collaborate with cross‑functional teams.
  • Problem‑solving skills to assist in resolving inventory discrepancies and logistical issues.
