We are seeking a highly organized and process minded Operations Coordinator to provide finance, sales and marketing, human resources, legal and other operations related support.
DescriptionLocation:
Hybrid Remote & Onsite - Ohio or North Carolina
Experience Level:3–5 years preferred
Role OverviewThis role is ideal for someone who is AI literate, detail oriented, and excited to improve processes in a growing tech consulting firm. You will work directly with leadership and play a key role in keeping the business running smoothly.
Responsibilities Finance- Categorize transactions, attach receipts, and post entries
- Reconcile bank and credit card accounts
- Place software license orders and generate customer invoices
- Review tracked time for accuracy and profitability
- Manage contractor invoices and payment processing
- Pay employees, vendors and partners
- Follow up on overdue invoices and assist with collections
- Review sales tax reports for accuracy
- Coordinate with the accounting team on bookkeeping issues
- Conduct competitor and market research
- Assist in developing sales materials including case studies and presentations
- Coordinate the redesign and maintenance of the OMG website
- Plan social media strategy and manage posting cadence
- Create and publish company newsletters
- Plan and manage logistics for webinars and virtual events
- Support in-person events, conferences, and customer meetings
- Assist with quoting, lead generation, and account research
- Assist with workforce planning and staffing needs
- Coordinate recruiting and hiring processes
- Research and recommend employee benefits options
- Help create job descriptions, RACI matrices, and team goals
- Support employee and contractor handbook development
- Ensure compliance with employment regulations
- Conduct background checks for customer facing personnel
- Maintain skills inventory and training matrices
- Ensure certifications and accreditations are current
- Route contractor agreements for signature
- Assist with customer legal agreement updates and approvals
- Audit customer files for required legal documentation
- Coordinate with legal counsel on business matters
- Manage additional insured requirements for contracts
- Coordinate with business and health insurance providers
- Manage onboarding for customers, employees, contractors and vendors
- Schedule team meetings and provide general administrative support
- Create and maintain documentation for business continuity purposes
- Identify opportunities to improve and automate processes

- Have 3–5 years of experience in operations or business management

- Communicate clearly and professionally
