About VFactor Health

VFactor Health is a fast-growing online health coaching company built to support individuals using GLP-1 medications who want more than a prescription. Our program helps clients improve nutrition, protect muscle, support metabolism, manage lifestyle habits, and build long-term results through structured coaching, education, accountability, and personalized support.

We are building a premium coaching experience that combines clinical credibility, high-touch client support, and scalable systems. As we grow, we are looking for a true operator who can turn vision into execution, build structure around the business, and help scale the company without sacrificing client experience.

About the Role

The Director of Operations will own the day-to-day operating system of VFactor Health. This is not a task-management role. This is a leadership role for someone who can build systems, improve processes, manage people, understand data, and create accountability across the business.

You will be responsible for making sure the company runs smoothly across client delivery, team operations, technology, reporting, hiring, SOPs, internal communication, and execution of new initiatives. The right person is highly organized, tech-savvy, proactive, calm under pressure, and comfortable working directly with a fast-moving founder.

Key Responsibilities

Own the Operating Rhythm of the Business

You will create and manage the internal cadence that keeps the business moving forward.

Responsibilities include:

  • Lead weekly team meetings, leadership check-ins, and cross-functional updates.
  • Create clear priorities, deadlines, and ownership across the team.
  • Track progress on key initiatives and hold team members accountable.
  • Build and maintain dashboards for operations, client delivery, revenue, retention, team performance, and bottlenecks.
  • Ensure the founder is not stuck managing every detail of the business.
  • Translate founder vision into clear 30-, 60-, and 90-day execution plans.
Manage Client Delivery Operations

Because VFactor Health is a coaching business, client delivery is one of the most important parts of the company. The operations leader must protect the quality of the client experience as the business scales.

Responsibilities include:

  • Oversee the full client journey from application to onboarding, coaching, weekly check-ins, retention, renewal, and offboarding.
  • Make sure every client receives a consistent, premium experience.
  • Build and improve onboarding processes for new clients.
  • Track client satisfaction, engagement, attendance, progress, and risk of churn.
  • Support coaching team workflows so coaches know exactly what to do, when to do it, and how to document it.
  • Help create systems for client accountability, communication, and escalation.
  • Monitor refund requests, complaints, and client issues to identify root‑cause problems.
Own CRM and Core Tech Stack Operations

This role requires someone who is comfortable inside software and can manage the operational backbone of an online coaching business. Go High Level Software experience is strongly preferred.

Responsibilities include:

  • Manage Go High Level workflows, pipelines, automations, forms, calendars, email/SMS sequences, contact records, and reporting.
  • Ensure leads, applicants, booked calls, new clients, and existing members move through the correct pipelines.
  • Build and troubleshoot automations across the sales and client delivery journey.
  • Maintain data hygiene inside Go High Level and other systems.
  • Help manage tools such as Practice Better, Stripe, Google Workspace, Slack, Zoom, Calendly, project management software, course platforms, community platforms, and reporting dashboards.
  • Evaluate new tools and recommend whether to keep, replace, or simplify systems.
  • Build scalable systems so the company does not depend on manual workarounds.
Build SOPs, Processes, and Documentation

You will be responsible for turning repeated work into clear systems.

Responsibilities include:

  • Document all core business processes into SOPs.
