Compensation
: $30/hour, 20-25 hours per week

Reports to: Data & Operations Director

Working expectations

Most of the administrative work and internal meetings for this position will be virtual/remote from the candidate’s home office (or other chosen location), requiring approximately 5 hours per week in‑office time in our facilities in Austin. This is a hybrid role with a flexible schedule.

A few times a year in‑person attendance at events, retreats, and meetings in Austin will be required.

Work hours:

flexible and should generally fall M‑F between 9 am and 6 pm CST, with a high level of autonomy.

Hiring timeline

We are accepting and reviewing applications on a rolling basis beginning May 2026. We aim for the selected candidate to start by June 2026 at the latest.

Job Description

This role focuses on supporting the people they work with while managing accounting data entry expenses and documentation in compliance with GAAP and internal requirements. This position requires solid communication skills to collaborate with the entire GIRLS team, along with critical thinking skills to solve accounting and non‑accounting problems. This role requires a desire to learn and to apply that knowledge.

This person uses their analytical and creative thinking to find ways to improve and streamline processes, and continue migration of records from paper to electronic. We want someone who is passionate about Girls Empowerment Network’s mission. The Bookkeeping Assistant will ensure that our agency excels in the financial management and reporting required to support our mission to empower girls across Texas.

Key Position Responsibilities
  • Ensures timely payment of bills
  • Manages credit card charges in  and Quickbooks Online, ensuring correct coding and documentation
  • Reconciles  statement
  • Enter time into semi‑monthly payroll worksheet, verify accuracy and use this report for wages payable
  • Manage wages payable
  • Accesses data from expense and time data from Click Time
  • Accesses invoices and statements from benefits vendor websites
  • Prepares payment requests and checks for CEO approval
  • Performs Restricted Net Assets reconciliation
  • Manages Salesforce to QB reconciliation
  • Manages documents for reimbursing grants and prepares payment requests
  • Prepares benefits allocation worksheet monthly for review
  • Assists with month‑end close
  • Supports the annual internal audit, manages record keeping, manages logistics
  • Assists contract CFO firm with expense budget preparation
  • Collects mail weekly and distributes across team
  • Other projects and duties as needed
Required Skills and Qualifications
  • Professional, driven self‑starters who have a willingness to learn, take initiative, and solve problems
  • 1 year of experience with accounting data entry or 1 year education equivalent
  • Solid understanding of A/P, reconciliations, debits and credits, and general accounting
  • Basic knowledge of financial statements and journal entries
  • Knowledge of Excel, Word, Outlook, and Share Point
  • Experience with Salesforce and Quick Books Online
  • Familiarity with nonprofit accounting
