Position Summary
We are seeking a detail‑oriented Contracts Administrator to support the management and execution of client and vendor contracts across Hueman. In this role, you will assist with redlining, tracking, organizing, and processing contracts under the direction of senior leadership. This role will work closely with the CFO, sales leadership, operations, and accounting to ensure contract records are current, templates are maintained, key dates are tracked, and reporting is accurate and timely.
This is a hybrid position based in Jacksonville, FL. Team members are expected to work in the office on Monday, Wednesday, and Thursday, with the option to work from home on Tuesday and Friday.
Key Responsibilities Contract Support & Redlining- Assist with redlining and markup of Master Service Agreements (MSAs), Statements of Work (SOWs), amendments, NDAs, and service addenda using established templates and playbooks
- Review client‑proposed contract language and flag key provisions— including indemnification, liability, data privacy, and termination clauses—for senior leadership review
- Prepare comparison documents and summaries of proposed changes to support internal decision‑making
- Process fully executed contracts, notify appropriate internal stakeholders including Accounting, and maintain complete and accurate records within Trident contract software
- Maintain a centralized contract repository with all standard contract templates and accurate tracking of key dates— expirations, renewals, notice periods, and rate escalations
- Monitor upcoming renewal and expiration deadlines and proactively alert stakeholders
- Ensure all fully executed contracts are properly filed, organized, and accessible to relevant internal teams
- Track SLA commitments embedded in client agreements and flag any gaps or inconsistencies
- Support Sales and Operations by preparing contract documents for new client engagements and renewals
- Route contracts through the internal approval process, ensuring the right stakeholders review and sign off in a timely manner
- Respond to internal requests for contract information—pulling key terms, summarizing obligations, and providing status updates
- Assist with ad hoc projects related to contract compliance, reporting, or process improvement
- Ensure all executed contracts are complete and compliant with internal policies before filing
- Assist in preparing contract documentation for audit or compliance requests
- Help identify opportunities to streamline and improve the contract administration process
- Strong written and verbal communication skills, with the ability to draft clear and professional contract documents and correspondence
- Excellent attention to detail and proofreading skills to ensure accuracy in contracts, amendments, and related documents
- Strong organizational skills with the ability to manage multiple contracts, deadlines, and priorities across various lines of business
- Ability to review contract terms, identify key provisions, and elevate concerns appropriately
- Basic accounting knowledge, including an understanding of billing terms and contract‑related financial requirements
- Ability to work independently, manage your own deadlines, and elevate appropriately when needed
- Ability to collaborate effectively with leadership and cross‑functional teams to support contract‑related needs
- Bachelor’s degree in business administration, legal studies, paralegal studies, finance, or a related field preferred
- 3+ years of experience in contract administration, contract coordination, legal support, or a related role
- Experience reviewing, drafting, and managing commercial contracts, amendments, and related documents
- Proficiency in Microsoft Office Suite (Word track changes/redlining, Excel, Outlook) as well as technology platforms (e.g., Trident Contract Management Software)
