This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Proposal Compliance Coordinator based in United States.

This role is an excellent opportunity for a highly organized professional who enjoys managing complex information, coordinating workflows, and ensuring operational excellence. As a key contributor to the proposal development process, you will help maintain compliance, accuracy, and efficiency across multiple projects and stakeholders. Working in a collaborative remote environment, you will support critical business initiatives by tracking requirements, managing documentation, and ensuring timely submissions.

The position offers exposure to cross‑functional teams, government procurement processes, and strategic business operations. Ideal for someone who thrives on detail‑oriented work, this role provides the opportunity to make a meaningful impact while contributing to the success of large‑scale proposal efforts.

Accountabilities
  • Coordinate proposal compliance activities by tracking deadlines, submission requirements, and supporting documentation throughout the proposal lifecycle.
  • Maintain proposal trackers, compliance checklists, and workflow systems to ensure visibility and accountability across teams.
  • Organize, manage, and maintain files within collaboration and document management platforms, ensuring version control and document accuracy.
  • Complete and maintain government forms, registrations, certifications, and compliance‑related records.
  • Monitor procurement and bidding portals for opportunities, updates, amendments, and submission deadlines.
  • Support proposal preparation through document formatting, PDF creation, quality checks, and final submission readiness activities.
  • Communicate project updates, compliance requirements, and critical information to internal stakeholders to ensure timely execution.
  • Assist proposal and business development teams in maintaining organized and efficient proposal operations.
Requirements
  • Bachelor's degree in a related field or an equivalent combination of education and professional experience.
  • Minimum of three years of experience in proposal coordination, proposal compliance, administrative operations, or a related function.
  • Strong attention to detail with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent organizational, planning, and time management skills.
  • Strong written and verbal communication abilities, with the capacity to collaborate effectively across teams.
  • Experience with document management, workflow coordination, and process tracking.
  • Proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Advanced working knowledge of Adobe Acrobat and PDF document preparation.
  • Experience using SharePoint, Microsoft Teams, or similar collaboration and content management platforms.
  • Ability to handle confidential information with professionalism, discretion, and integrity.
