Corporate Secretarial Executive

Singapore – Monday to Friday, 09:00 to 18:00 – Hybrid.

Responsibilities
  • Assist in handling full spectrum of corporate secretarial matters for clients under your care and ensure statutory and compliance issues are met.
  • Prepare necessary documents or supporting work for company/foreign branch formations, board resolutions and meetings, and corporate actions documents.
  • File client entity annual returns and financial statements with ACRA and lodge required changes with ACRA.
  • Attend to auditors’ queries on behalf of clients and liaise with them in preparation for statutory audit.
  • Assess work procedures, provide feedback and suggestions for improvement, and implement improvement processes where necessary.
  • Perform administration tasks pertaining to clients or internal procedures.
  • Handle staff relocation matters for clients.
  • Onboard new clients, conduct ongoing monitoring and client due diligence checks.
  • Follow up on debtor’s management of client outstanding invoices beyond the surface level.
  • Act as a relationship bridge between the client and the compliance team on annual file review challenges, updating and verifying information and managing information needs optimally.
  • Perform other ad‑hoc duties as assigned.
Qualifications
  • Institute of Chartered Secretaries and Administrators (ICSA) qualification or those pursuing, and a Diploma in Business Administration, Commerce, or Law with a minimum of 3–4 years of relevant corporate secretarial experience.
  • Meticulous individual with strong sense of responsibility, proactive client‑servicing aptitude, and basic commercial acumen.
  • Strong team player with a positive working attitude, able to work independently and multi‑task.
  • Good interpersonal, oral, and written communication skills.
  • Proficiency in MS Office; knowledge of Viewpoint is an advantage.
  • Strong sense of responsibility.
